Seeking a highly organized and client-focused Administrative Client Support Specialist. The ideal candidate will have a background in wealth management or financial services and possess strong administrative and communication skills. This role requires a proactive professional who can support advisors, manage client interactions, and oversee critical administrative functions.
Responsibilities:
- Serve as a primary point of contact for clients, addressing inquiries, scheduling meetings, and ensuring timely responses to client needs
- Process client applications, account forms, and regulatory documents, ensuring accuracy and compliance with financial regulations.
- Assist in new client onboarding, maintain up-to-date client records in CRM systems, and coordinate account updates.
- Organize client review meetings, prepare reports, financial summaries, and presentation materials for advisors.
- Maintain client and financial data, generate reports, and ensure all client-related documentation is properly recorded and organized.
- Arrange client and advisor meetings, conferences, and special events, including logistics and travel planning.
- Identify and implement best practices to enhance operational efficiency and client satisfaction.
Qualifications:
- Bachelor's degree
- 3 years of administrative experience in wealth management, financial services, investment advisory, banking or law preferred
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook)
- Strong verbal and written communication skills, with a high level of professionalism in client interactions.
- Ability to manage multiple tasks with accuracy and efficiency in a fast-paced environment.
- Ability to anticipate advisor and client needs, troubleshoot issues, and provide proactive solutions.
- Ability to handle sensitive client information with integrity and professionalism.
Preferred:
- Experience supporting financial advisors and high-net-worth clients.
- Understanding of investment products, financial planning, and regulatory compliance.
- Familiarity with portfolio management systems and wealth management platforms.
