JOB DESCRIPTION
We are seeking an Intake Coordinator/Scheduler for a high-volume call agency assisting clients with setting up new and ongoing therapeutic services with The Thrive Network clinician. Tasks include initial screening, collection of necessary demographic and insurance verification.
Ideal candidates should be quick learners who are detail oriented, can track tasks and prioritize based on the needs of client and agency. Experience with Electronic Health Record (EHR), mental health language and insurance verification a PLUS. Candidates should remain flexible with current process changes that may happen quickly requiring adaptability.
RESPONSIBILITIES
- Handle intake department interactions via phone (Inbound and Outbound), email, voicemail, faxes, and chat
- Assist new clients in establishing care with a therapist
- Scheduling initial appointment
- Obtaining client clinical historical, demographic, and insurance information
- Processing and managing referral paperwork
- Contact referral source, client, and/or agency office to obtain additional information that is required to complete verification of benefits and/or prior approvals
- Communication with the client regarding delays in waiting time
- Screen any inquiry calls to schedule potential new clients
- Assist caller/client with any questions
- Communicate regularly with key referral sources
- Assist with incoming emergency calls as appropriate
- Maintenance and upkeep of office area, equipment and supplies
- Scheduling Medication evaluation and ongoing medication management appointments with Thrive APN
- Work directly with the Clinical Director
- Other tasks as assigned by management
SKILLS & EXPERIENCE
- Minimum - associate’s degree with relevant work experience preferred or 3 years of experience in a healthcare environment, medical or mental health practices
- Must have strong computer proficiency with knowledge of Microsoft Office, Internet, and Email
- Ability to type fluently

EMR systems: 1 year (Preferred)
