Position Summary
The Onboarding Specialist will play a critical role in ensuring new employees have a seamless transition into our organization and feel welcomed from day one. As an Onboarding Specialist you will be responsible for the onboarding process for new hires, ensuring they have positive and productive experience from offer to first day. This role involves coordinating and executing various onboarding activities to facilitate the integration of new hires into our company culture and operations.
Duties, Responsibilities, and Accountabilities
Essential Functions:
Onboarding Execution
- Manage the end-to-end onboarding process for assigned new hires, rehires, and employees returning from layoff.
- Ensure all required forms, documents, and compliance requirements are completed accurately and on time.
- Assist new hires in navigating the onboarding process, providing clear instructions and support.
Collaboration and Communication
- Communicate regularly with field leadership to confirm onboarding requirements and provide updates on progress.
- Act as a point of contact for new hires and field leadership, addressing questions and resolving issues promptly.
- Collaborate with the other team members to ensure consistent onboarding practices.
Compliance and Documentation
- Maintain accurate and organized onboarding records in accordance with company policies and regulatory requirements.
- Conduct through reviews of onboarding documents to ensure compliance with state and federal regulations.
- Report any discrepancies or issues to the Senior Onboarding Specialist.
Process Improvement
- Identify areas for improvement within the onboarding process and propose solutions to enhance efficiency and employee experience.
- Support the implementation of new systems and processes as directed by the Senior Onboarding Specialist.
Acquisition Support
- Assist with onboarding processes related to acquisitions, ensuring a smooth transition for newly acquired employees.
- Support data collection, verification, and documentation during acquisition integrations.
Qualifications (Knowledge, Skills, and Abilities)
- Education and Experience
- High School Diploma or equivalent.
- Minimum of 2 years of experience in onboarding, HR operations, or a related role.
- Skills and Competencies
- Strong organizational and time-management skills
- Excellent communication and interpersonal skills.
- Detail-oriented with accurate record-keeping.
- Proficiency in HRIS systems and other onboarding tools.
- Ability to adapt and professional under pressure.
- Strong analytical and problem-solving skills.
- Pass all drug and alcohol screens as required by Company policy and, if applicable, required by DOT regulations.
- 18 years of age or older, or 21 if CDL is required.
- Legally authorized to work in the United States.
The Onboarding Specialist works in an office environment with occasional remote work flexibility. The role may require limited travel to support acquisition integrations or training initiatives.
