Role Overview:
As our Operations Manager, you will play a critical role in the day-to-day management of the clinic. You'll oversee all scheduling and care coordination between clients and staff, administer all front office operations, and provide leadership to ensure smooth clinic functioning. Your background in ABA, front office management, and scheduling will be essential in coordinating client check-ins, maintaining clinic organization, and supporting our team of behavior technicians.
In addition to administrative and operational tasks, this role may also involve marketing responsibilities. You will work to build connections within the community to generate awareness of our services and attract new clients to our clinic. Your ability to network and promote the clinic's services will help expand our reach and make a direct impact on the lives of children and families in need of ABA services.
You will also work closely with our Clinic Director to ensure the clinic runs smoothly, with a focus on creating a welcoming and efficient environment for both staff and families. A strong emphasis on customer service and team collaboration will help foster a positive and supportive clinic atmosphere.
Key Responsibilities:
Operational Management:
- Oversee the day-to-day administrative and operational functions of the clinic.
- Ensure clinic operations align with company policies, state regulations, and industry best practices.
- Monitor clinic performance metrics, including scheduling efficiency, utilization rates, and client service hours.
- Implement and maintain systems to streamline workflows and enhance productivity.
- Manage and streamline administrative tasks, including opening and closing procedures, record-keeping, and reporting.
- Ensure a welcoming and professional environment for clients, families, and visitors
Scheduling & Care Coordination:
- Oversee and manage the comprehensive scheduling of clients and staff to ensure optimal service delivery and efficiency.
- Coordinate staff schedules to maximize utilization while ensuring compliance with treatment plans.
- Proactively address scheduling conflicts and last-minute cancellations to minimize disruptions to client services.
- Work closely with the clinical team to match clients with appropriate staff based on skill level, availability, and client needs.
- Utilize scheduling software and tools to maintain accurate and up-to-date schedules for all staff and clients.
- Continuously analyze scheduling data to identify trends, improve efficiency, and ensure recommended treatment hours are met.
- Communicate effectively and compassionately with families regarding schedule changes, availability, and service updates.
Staff Leadership & Support:
- Partner with the Clinic Director to supervise behavior technicians and any assigned administrative support staff. Collaborate with other regional Operations Managers regarding staff support and resource sharing.
- Collaborate with the clinical leadership team to ensure staff coverage and operational efficiency.
- Support onboarding and training efforts for new staff to ensure alignment with company processes.
- Support behavior technicians on the floor by providing resources and assistance. Ensure the implementation of ABA strategies aligns with client goals.
- Partner with the Clinic Director to address any operational concerns, assist with staffing needs, and facilitate smooth clinic operations.
- Foster a positive and collaborative clinic culture.
Facility Management:
- Oversee the general maintenance, cleanliness, and safety of the clinic to ensure a functional and welcoming environment for clients and staff.
- Coordinate with vendors and property management for facility repairs, maintenance, and improvements.
- Ensure compliance with health, safety, and accessibility regulations, including OSHA and ADA requirements.
- Manage clinic security, including access control and emergency preparedness planning.
- Monitor and maintain therapy rooms, equipment, and common areas to support effective service delivery.
- Implement and oversee facility protocols for infection control, sanitation, and any other needed safety measures.
- Maintain inventory of office and clinical supplies, ensuring necessary materials are stocked and available.
Compliance & Quality Assurance:
- Ensure adherence to state and federal regulations, including HIPAA and ABA-specific guidelines.
- Maintain accurate and organized clinic records, including employee and client documentation.
- Conduct routine audits to ensure compliance with all state licensing and accreditation standards.
Financial & Resource Management:
- Assist in budget planning and cost control to ensure clinic financial sustainability.
- Manage clinic inventory, including therapy materials and office supplies.
- Support billing and revenue cycle management by ensuring accurate service documentation.
Community Outreach & Marketing:
- Build and maintain relationships with community organizations, schools, and other local businesses to generate referrals and raise awareness about The Treetop's services.
- Develop and implement marketing strategies to attract new clients.
Qualifications:
- ABA Experience: At least 2 years of experience working in ABA therapy, including direct support or clinical roles such as RBT (Registered Behavior Technician), BCBA (Board Certified Behavior Analyst), or other relevant roles.
- Scheduling & Office Management: Proven experience in scheduling, front office management, and administrative support. Experience coordinating client appointments, cancellations, and working in a fast-paced environment is a must.
- Marketing Experience: Experience in marketing, community outreach, or business development. Ability to network, create partnerships, and implement strategies to build the clinic's client base.
- Strong Customer Service Skills: Experience in client-facing roles with the ability to handle a variety of inquiries and provide excellent service in a professional and compassionate manner.
- Leadership Ability: Demonstrated ability to lead and coordinate a team, especially in a healthcare or therapeutic setting.
- Organization & Attention to Detail: Exceptional organizational skills with the ability to prioritize and manage multiple tasks at once in a busy clinic environment.
- Communication Skills: Excellent verbal and written communication abilities, with an ability to work well with both staff and families.
- Self-Starter: Ability to work independently while also contributing as a collaborative team member.
Schedule:
- Full-time availability required with shifts between 7:30 AM and 6:00 PM, Monday through Friday. Shifts will be flexible within these hours to accommodate clinic needs.
- Occasional Saturday availability may be needed for staff training or professional development sessions.
