Core Purpose
The Unique Assets Coordinator is responsible for ensuring the timely processing of bills, coordinating property maintenance, and facilitating vendor relationships regarding various unique assets, including real estate, trust, and wealth management clients’ properties.

Responsibilities
- Shows a commitment to The Trust Company’s Mission, Core Values, and Client Promise.
- Monitors the unique assets mailbox for incoming bills ensuring timely payment for items such as utilities, lawn maintenance, HOA fees, property taxes, and insurance premiums.
- Tracks and updates each bill in Salentica for accurate tracking and management.
- Monitors utility usage for patterns or unusual spikes and follows up with providers to inquire about discrepancies.
- Manages all maintenance and service requests on trust-owned properties and relays information back to Relationship Managers as needed.
- Coordinates with vendors for services such as real estate transactions, property appraisals, and repairs/maintenance.
- Assists with onboarding new unique assets including reviewing risk analysis reports and value data, setting up utilities for special needs trust, adding the asset to Master Trust Policy, providing data to Operations to add the asset to InnoTrust system.
- Reviews and pays invoices for completed services in a timely manner.
- Participates in weekly team meetings to review ongoing repair and maintenance projects, bill payments, and other asset-related items.
- Other duties as assigned.
Qualifications
- Associate degree preferred
- Real Estate experience a plus
- One to three years as an office or administrative professional
- Excellent verbal and written communication and interpersonal skills
- Ability to organize and prioritize tasks
- Must be detail-oriented
