The Office of the General Conference invites inquiries and applications for the position of Administrative Support Specialist. The Administrative Support Specialist will support the work of the Office of the General Conference by coordinating meetings, documenting meeting minutes, and managing correspondence and databases. This role requires a high level of confidentiality and administrative proficiency.
Responsibilities:
- Perform administrative duties assigned by the Secretary of the General Conference (SGC).
- Coordinate responses to inquiries and requests.
- Assist with travel arrangements and processing expenditures.
- Attend all Commission on General Conference (CoGC) meetings and coordinate the administrative needs, and calendaring relating to the Commission on the General Conference and other bodies of the church as necessary.
- Schedule all virtual meetings for the CoGC and take minutes.
- Research, design, and prepare correspondence and format reports and other documents on behalf of the Office of the General Conference.
- Draft and proofread memos, letters, reports, meeting agendas, and other documents.
- Monitor and respond to electronic mail for the SGC.
- Oversee mailings and ensure accuracy of mailing lists.
- Manage databases for annual conference secretaries and keep them updated.
Qualifications
- Bachelor's degree or equivalent preferred.
- Four to five years of directly related experience in a professional high-volume environment, with executive leadership interfaces and engagements.
- Knowledge of the United Methodist Church, its theology and polity is strongly referred.
- Administratively proficient with experience working with an executive leader.
- Proven experience working with highly confidential information.
- Possesses exemplary customer relations skills and holds hospitality as a value.
- Proficiency in Microsoft products required.
Considerations:
- Residing in Nashville, TN or Indianapolis, IN is preferred.
