Position Description Summary/Purpose:

 

Provides operations support to the Student Support Services department and staff. Responsible for the maintenance of the office filing system and student records in accordance with grant regulations.   Develops and maintains program database for tracking of student information and preparation of Annual Performance Reports (APR). Responsible for general office management. Provides advising and services to program participants.   The position is a full-time grant funded position (grant funding through August 30, 2025) with the hours being 8:30 a.m. - 5: p.m. Monday through Friday, with the 1st and 3rd Thursday being a late shift 11:00-7:00.

 

Essential Job Functions/Primary Responsibilities:

  • Provides operations support to the SSS department and staff. This involves processing routine paperwork (student folders/project material); day-to-day operations such as processing purchase orders and requests for supplies; preparation of general correspondence, mailings, forms and public relations materials; assist in planning of activities such as award ceremonies, field trips, etc.;
  • Documenting and updating the current inventory of supplies, equipment, and other resources associated with the project.
  • Maintains office filing system and student records in accordance with grant regulations which would involve collecting and maintaining program data, utilizing and manipulating database programs to assist with the analysis of data.
  • Assisting the Project Director in complying with all federal grant regulations and related legislation.
  • Assisting with the verification of SSS eligible students and acceptance of students.
  • Develops and maintains program database for tracking of student information and preparation of Annual Performance Reports (APR). This involves entering new student information into Student Access as well as updating student information on a regular basis.
  • Providing reports to program staff as needed.
  • Provides financial aid and academic advising and services to program participants.
  • Help students advocate on behalf of themselves with agencies and schools regarding financial aid and admissions.
  • Provide information and guidance regarding postsecondary course selection.
  • Assist with graduate school selection and entrance exams, identifying resources for public and private scholarships, and Federal student financial aid programs.
  • Perform other duties as assigned by the Project Director
  • Conducts all work in a safe manner and all work safety practices are followed.

  • Performs similar or related work as required, directed or as situation dictates.
  • Continues professional development and training; keeps current with trends.
  • Assists other department staff as needed to promote a team effort.

 

Knowledge, Ability and Skill:

 

  • Demonstrated commitment to developing and fostering best practices and policies to promote diversity, equity, and inclusion, and build an environment in which all members of the University community are treated with respect and dignity.
  • A demonstrated sensitivity to and experience with low-income, first-generation students and individuals with disabilities or similar populations.
  • Knowledge of higher education admissions and enrollment processes and/or college financial aid. Experience helping students assess their interests, strengths, and needs and developing goals and plans for postsecondary education preferred.
  • Demonstrated awareness of and sensitivity to low-income minority youth.

Qualifications


 

Minimum Required Qualifications:

 

Education, Training and Experience:

  • Bachelor's degree in a related field with three (3) years' experience and/or training in educational or career counseling, college registration, academic advisement, career development, or an equivalent combination of education, training, and experience.
  • Experience with office management and data collection is required.
  • Must have excellent written and verbal communication skills.
  • Proficient in the use of Excel, PowerPoint, and Word.
  • Experience with and maintaining databases is preferred.
  • Knowledge in maintaining Social Media accounts preferred.
  • Experience developing and delivering workshops and presentations.
  • Experience developing and coordinating programs/activities for small and large groups.
  • Experience with TRIO programs desirable.
