What are the responsibilities and job description for the Health Records Associate - Pediatrics (NICU) position at The University of Iowa?

The Health Records Associate will be responsible for the day-to-day collection of in-patient clinical data for/but not limited to the Children’s Hospital Neonatal Consortium (CHNC) database data set; Vermont Oxford Network (VON) database data set or any other Neonatology databases (REDCap). This position will utilize expert computer and clinical skills to ensure the accuracy and timeliness of the data entered in the clinical databases and support the Neonatology Division’s efforts to provide data to clinicians for clinical inquiry, quality improvement projects or research. This is a specified term position.

Duties to include:

Assures accurate data extrapolation and timely data entry:

  • Understands the clinical data that are extracted from patient charts and the data's relationship to the NICU Clinical Databases.
  • Understands and follows all regulations and policies around the use of protected health information (PHI).
  • Completes and oversee data collection and data entry carefully and accurately as per site’s protocol and Manual of Operations (MOP) definitions.
  • Maintains existing procedures for data collection, data security and patient privacy submission and correction.
  • Collaborates with Vermont Oxford Network (VON) to ensure data entered meets the requirements of VON and collaborates with Children’s Hospital's Neonatal Database (CHND) to ensure data entered meets the requirements of CHND.
  • Works collaboratively with other members of the Research Team to ensure the accuracy and integrity of data collection, entry, and outcomes reporting.
  • Maintains and supports needs of the Neonatology Section regarding NICU Clinical.

Databases:

  • Understands the platform for the NICU Clinical Databases and can work with Information Systems staff to ensure accuracy of data (i.e., assist in troubleshooting).
  • Functions as a resource for clinicians to help them use the information from the databases (i.e., Nightingale).
  • Assists Research Manager and Primary Investigators to review reports, surveys or other documents before distribution to assure accuracy, provide clinical insights and identify potential trends.
  • Participates in conference calls and meetings relating to NICU databases.
  • Participates in QI projects, clinical improvement projects and any projects in which the Neonatology division might be involved with VON, CHND, etc. as assigned by Research Manager and/or Primary Investigators.

Education Requirements:

  • Bachelor’s degree or an equivalent combination of education and related experience.

Experience Requirements:

  • 6 to 12 months of related experience in a research or health care setting including working with data, databases and/or data abstraction
  • Demonstrated experience with medical terminology.
  • Excellent verbal, written, and interpersonal communication skills.
  • Demonstrated Proficiency in computer software applications such as Microsoft Office.
  • Demonstrated ability to manage complex information with attention to detail and a high level of accuracy

Desired Qualifications:

  • Experience working with electronic medical health databases (EPIC, Cerner, etc.).
  • Experience working with medical coding.
