Position Summary / Career Interest :

The Ambulatory Informatics and Operations Lead applies informatics knowledge and collaborates with operational leadership, end users of the electronic health record (EHR) revenue cycle, and IT staff to develop and drive adoption of standard workflows, assess usability and recommend optimizations. Serves as the informatics lead on large ambulatory projects. Executes these projects by leading the operational and informatics workflow analysis, design, build, testing, communication, KPI development and escalation of barriers prior to an after go-live. Understands key operational goals and drives optimizations towards those goals. Leads EHR and operational transformational governance groups to provide workflow expertise of the ambulatory system.

Responsibilities and Essential Job Functions

  • Leads large health system wide projects. Demonstrates an expert understanding of clinic systems. Executes these projects by leading operational and informatics workflow analysis, design, build, testing, communication plans, KPI development and escalation of barriers prior to and after go-live. Ensures standard workflows are implemented at go-live. Follows system life cycle and transformation standards. Guides project team members on driving changes through technology governance bodies.
  • Understands and advises on regulatory, compliance and quality standards of EHR documentation. Utilizes this knowledge to modify and optimize standard work and change system build.
  • Leads EHR and operational governance groups providing ambulatory informatics and operational expertise. Demonstrates expert understanding and expertise of clinical systems and operational standards. Utilizes that knowledge to review, analyze, and evaluate user and clinical system needs.
  • Rounds in clinics to understand operational workflows. Leads ambulatory EHR optimization efforts ensuring ambulatory operational goals and compliance standards are met. Independently identifies opportunities for improvement Provides change management leadership and guidance to teammates and operational leaders.
  • Independently utilizes and leads team members to utilize Lean methodologies (PDCA, SOP Documentations, etc.) to document standards and increase ambulatory efficiency. Identifies opportunities for adoption of standard workflow and removes clinic barriers to adoption. Identifies opportunities to revise standard work gaining approval from leadership and executing changes across all ambulatory clinics. Ensures a consistent experience for patients, providers, and staff. Escalates to ambulatory or information technology as appropriate.
  • Researches and advises leadership on best practices utilizing benchmarking resources including, but not limited to, Epic User Web, GPIN, MGMA and the Access Collaborative. Actively posts in these forums and seeks opportunities to share best practice learned with others in the community.
  • Establishes relationships with ambulatory department and division leadership, physicians, and allied health staff.
  • Leads and develops scope of ambulatory informatics role in the distributive build program. Supports advanced distributed build in the system. Guides and advises team members. Triages and prioritizes optimization requests obtaining with team members ensuring communication with leadership on this prioritization. Ensures those requests that are triaged meet operational goals and direction.
  • Validates and approves educational materials developed by the learning and development and credentialed training teams. Ensures operational and technological components align with expected standard workflows in clinics.
  • Partners with operational leadership to develop policies and procedures that apply to the ambulatory practices. Assists in developing reports or observation tools to measure adherence. Reports adhere back to operational owners.
  • Collaborates with operational leaders to develop strategic plans. Serves as an expert on informatics best practices. In partnership develops ambulatory vision and corresponding implementation strategy.
  • Coaches and mentors team members.
  • Develops and lead ambulatory informatics and operations program standard documents at the direction of leadership.
  • Certification or proficiency in assigned Epic application, or demonstrated learning of other assigned application, must be obtained within 6 months of employment or assignment.
  • Informatics certification within 1 year of employment or assignment.

Required Education and Experience

  • Bachelors Degree in related field of study from an accredited college or university.
  • High School Graduate
  • 5 or more years of informatics experience.
  • 3 or more years of direct patient care experience; literature search / review experience.
  • Preferred Education and Experience

  • 5 or more years of direct patient care experience; literature search / review experience.
  • Required Licensure and Certification

  • EPIC Proficiency / Certification within 6 months of orientation completion as designated by role requirements.
  • Informatics certification within 1 year of orientation completion, as designated by role requirements.
  • Preferred Licensure and Certification

  • Professional Clinical License or Certification in Kansas or Missouri.
  • Required Language Skills

  • Fluent English - Able to receive and communicate verbal communications with users, vendors, and other employees in English.
  • Knowledge Requirements

  • Demonstrates knowledge of computers and desktop software.
  • Ability to work autonomously, by demonstrating self-motivation and creativity.
  • Good communication, writing, organizational and presentation skills.
  • Ability to effectively interact with multidisciplinary teams including physicians, administrative staff, clinical personnel, and peers.
  • Demonstrates persistence to solving problems.
  • Must work with limited resources within designated time restraints.
  • Able to read technical documentation manuals.
  • Able to use the phone.
  • Able to use a computer.
  • Able to receive directions and follow through to completion.
  • Basic knowledge of Microsoft products.
  • Able to solve common design and development problems.
  • Able to apply critical thinking and interpersonal skills.
  • Has reliable transportation available in order to attend meetings and support users in multiple locations.
