Financial Management (not grant/contract related): Work closely with the College Business Officer to organize and maintain the College financial analysis and reporting activities and coordinate the various information-gathering activities among the individual departments and units comprising the College. Prepare requisitions in Tigerbuy to submit equipment orders, pay invoices, order supplies, etc. Provide assistance to the Dean’s Office regarding financial matters such as Tigerbuy, budget, travel, etc.
Duties & Responsibilities
Administrative/Clerical Support: Provide administrative support to the Dean. Prepare reports, conduct research, coordinate business activities, organize meetings, and respond to any other business matters as the Dean requires. Maintain and schedule meetings in the Dean’s calendar. Provide support for the day-to-day operation of the Dean’s office including answering phones, welcoming visitors, distributing mail, maintaining our keys inventory, and other general office duties. Work closely with associate deans, directors, business officers, co-op coordinators, and development directors. Compile and enter data for the ASEE annual survey and US News annual survey of graduate programs in engineering. Maintain electronic records.

Oversee the scholarship application process in the college, including communications with prospective students, maintenance of scholarship applications and acceptances, and assisting with scholarship awards. Maintain academic records of scholarship recipients in the college in order to determine eligibility. Initiate requests for curriculum changes, monitor their progress through the approval process and maintain records of approved changes. Maintain the academic catalogs. Assist curricular processes in the college to ensure consistency and correctness. Assist with undergraduate and graduate admissions as necessary.

Special Events: Schedule and organize meetings and other events associated with the operations of the College of Engineering, including meetings of the College Advisory Council which is comprised of 20-some upper-level management from the private sector, the Annual College Awards Dinner, and other events such as needed.

University Projects/Initiatives: Serve as the college administrator for both the Tenure and Promotion process and the Faculty Evaluation process, and provide feedback and offer suggestions regarding the effectiveness of these systems.
