Job Description Summary
The Administrative Assistant will be responsible for providing student support as related to programming for the Department of Preventive and Restorative Sciences (PRS) and Advanced Education in General Dentistry (AEGD) Program. Reporting to the Program Manager, this position will interface with students and faculty in-person, through email, and on the telephone. The successful candidate will provide administrative, logistical, and technical support for the daily operations of the Department while utilizing advanced learning and administrative management systems.
Job Description
ADMINISTRATIVE
- Serve as point-of-contact for general inquiries related to PRS and the AEGD Program. Answer phones and take messages, following up with callers to ensure they have been helped. Distribute program communications via listserv.
- Process mail and shipment requests. Place orders to maintain office supplies.
- Prepare agendas, attend / participate in department meetings, and keep meeting minutes. Carry out action items following meetings.
- Arrange catering and logistics for Department events.
- Process H1-B & J-1 Visa applications for new hires in accordance with University policies, programs, and protocols.
- Perform other duties as requested by Department Chairman and / or Academic / Program Manager.
ACADEMIC
Qualifications
This individual must possess excellent organizational and communication skills (verbal and written) and have the ability to effectively multi-task. Must maintain a professional and courteous presence in a confidential environment. Experience with scheduling meetings is a plus and previous experience working with students is ideal. Proficiency with Microsoft Office, Adobe Suite and experience with multiple educational technology platforms, including Canvas, ExamSoft and Panopto is preferred.
High School Diploma / GED is required and 3 to 5 years of experience or equivalent combination of education and experience.
