JOB SUMMARY / ESSENTIAL JOB FUNCTIONS : The Administrative Coordinator 1 serves as the principal Enrollment Management administrative support and provides standardized office support for the Assistant Vice Chancellor of Enrollment Management (AVC EM). This position manages the day-to-day operation of Enrollment Management (EM) front office functions and performs EM administrative duties for functional units. The Administrative Coordinator I serves as the operational budget manager for EM units and automation projects including accounts payable, payroll, predictive budgeting, reporting expenditures, and allocation of funds and sources.
Responsibilities
DUTIES AND RESPONSIBILITIES :
- Provides the highest level of administrative support to the Assistant Vice Chancellor for Enrollment Management and their direct reports (e.g. Admissions, Financial Aid, Registrar, One Stop Shop, and Business Analyst) for a wide range of complex problem-solving projects and assignments.
- Serves on the Enrollment Management Leadership Team and delivers communication and correspondence, including providing direction, assignments, and expectations to team members, on behalf of the Assistant Vice Chancellor (AVC).
- Provides supervision of schedules, workflows, and assignments in support of Enrollment Management functional units and UTHSC students, faculty, and staff.
- Collaborates with the Director of Financial Aid and HR for Federal Work Study processes, budget, and contracts.
- Responsible for providing substantial assistance to the AVC EM with budget development and monitoring of funds for Enrollment Management.
- Responsible for daily financial matters in the department, including reporting, requisitions, invoices, transfer / travel vouchers, estimating office needs and operating requirements for budgetary and purchasing purposes.
- Prepares monthly probable budgets and expenditure reports for the AVC EM and AVC, Finance and Administration - AFSA.
- Monitors expenses; ensures the completion of all required forms; apprises director of budget matters.
- Oversees receipts and invoices, reconciles statements and all aspects of payroll and timekeeping including staff leave management.
- Processes travel for department staff.
- Processes contracts for consulting services and Enrollment Management automation projects.
- Develops presentations, edit / proofing of documents, draft and editing guidelines and procedures, and prepare documents for meetings.
- Performs other duties as assigned.
Qualifications
MINIMUM REQUIREMENTS :
EDUCATION : Bachelor's Degree (TRANSCRIPT REQUIRED)
EXPERIENCE : One (1) year of office experience; OR a combination of college coursework and administrative experience to equal five (5) years.
KNOWLEDGE, SKILLS, AND ABILITIES :
WORK SCHEDULE : This position may occasionally be required to work weekends and evenings.
