    Purpose

    The Administrative Associate will support human resource, financial, accounting, and administrative needs for the School of Law. This includes ensuring the efficient functioning of a lean Business Affairs portfolio tasked with delivering outstanding customer service to all Law School stakeholders. This role requires a detail-oriented individual with exceptional organizational skills and the ability to work both independently and collaboratively.

    Responsibilities

    • Administrative Support Support Business Affairs team email addresses, promptly responding to all emails, handling requests, or assigning to the appropriate party. Provide consistent, timely and reliable communication to clients via email or other methods regarding status of various processes. Assist with response to the high volume of email inquiries and requests made by staff, faculty, and students. Appropriately process and handle sensitive personnel paperwork, ensuring confidentiality at all times. Maintain all staff HR documents on UT Box.
    • Processing Process HR and accounting business transactions for faculty, staff, students, and affiliates in Workday, DEFINE, and other university systems. Approve timesheets. Assist with the processing of employee personnel actions including, but not limited to, on-boarding (including I-9 processing), separation/off-boarding, annual performance appraisals, salary adjustments, re-classifications, leave management, and workers compensation. Prepare payment vouchers and other documents as needed using the university mainframe and Web-based modules. Track documents through all stages of receiving and payment. Assist with coordinating and performing purchasing for the school.
    • Project Support and Reporting Run and perform regular reviews of HR Reports including time, compensation, end dates, and eligibility as well as any report in support of mass processing. Provide support to the finance team as needed with unit code and account structures, account balances and processes, funding transfers, and compliance. Support ad-hoc project requests for the Business Affairs team and the Assistant Dean for Business Affairs.


    Required Qualifications

    Diploma (High School) or GED with five years of clerical experience.

    Relevant education and experience may be substituted as appropriate.

    Preferred Qualifications

    Experience in HR, finance, and accounting processing at UT Austin in a dean’s or vice president’s office. Administrative experience at a law school.

    Salary

    $45,000

    Employment Eligibility:

    Regular staff who have been employed in their current position for the last six continuous months are eligible for openings being recruited for through University-Wide or Open Recruiting, to include both promotional opportunities and lateral transfers.     Retirement Plan Eligibility:

    The retirement plan for this position is Teacher Retirement System of Texas (TRS), subject to the position being at least 20 hours per week and at least 135 days in length.

  • Compliance:
