Job Summary

Under the supervision of the Manager, Accounting & Financial Reporting and in collaboration with Financial Services and Facilities Management asset/inventory subject matter experts, the Asset Accountant maintains and coordinates inventory and property records and the policies governing inventory and property control, including capital asset planning and financing; PP&E accounting and financial reporting; and inventory accounting. Responsibilities and work product directly contribute to the financial integrity and reporting related to all areas of inventory and property management and control.


Major Responsibilities/Duties/Critical Tasks

Responsible for accurate maintenance of information in the inventory and property management database.
  • Reviews inventory record for compliance with federal, state, and University of Texas System (UT System) guideline.
  • Prepares associate and applicable reports in compliance with regulations.
  • Coordinates the annual physical inventory, including creating and maintaining the physical calendar.
  • Schedules and performs audits on departmental inventories.
  • Reviews purchasing approvals and purchases in PeopleSoft Asset Management Module for controlled and capital assets, with daily/monthly monitoring and corresponding general ledger journal entries.
  • Maintains the property transfer workflow system in PeopleSoft.
  • Ensures data integrity between accounting system asset record and asset management software.
  • Prepares inventory reports for yearly review.
  • Conducts on-site review for high-risk departments on campus.
  • Coordinates the assignment of inventory tags to both new and existing equipment including re-issuing lost or damaged tags.
  • Participates in software program testing, meetings, and assists with writing procedure documentation for back-office use or campus training.
  • Provides campus training on inventory and property management roles, responsibilities, and resources.
  • Participates in committees related to asset management.
  • Manages capital equipment and construction planning reports including PUF, LERR, and RFS Financing, Scheduling, and Reporting in consultation with leadership including submittals for financial reimbursement.
  • Prepares and maintains financial schedules for annual reporting and auditors.
  • Analyzes data and prepares monthly and annual journal entries related to all property, plant, and equipment including capitalization and depreciation.
  • Additional duties as assigned.


Required Education/Experience

Bachelor’s degree in business, accounting, inventory/logistics management, or a related field from an accredited institution.
  • Three (3) years of related experience in inventory/property management or related area.
  • May accept a combination of education and experience.


Preferred Education/Experience

Two (2) years of accounting, business, and/or inventory experience.
  • Experience using PeopleSoft and asset management/inventory software applications.

Thorough knowledge of and/or ability to quickly learn applicable laws, codes, regulations, standards, policies, methods, and practices to assets and property control.
  • Excellent verbal, written, and time management skills.

  • Ability to provide high-quality customer service and maintain these standards.
  • Ability to keep detailed records.
  • Ability to assemble and organize data of complex nature and to prepare and submit reports in acceptable and/or required formats.
  • Solid computer skills including use of software programs used in tracking and reporting assets.
  • Ability to identify assets and property control-related issues, collect and analyze data, perform thoughtful interpretation, draw valid conclusions, and propose appropriate course of action.
  • Ability to work collaboratively with coworkers and functionally related teams.
  • Ability to work with confidential and sensitive information with discretion.

The retirement plan for this position is Teacher Retirement System of Texas (TRS), subject to the position being at least 20 hours per week and at least 135 days in length.
