Job Summary

The A/V Coordinator works with Media Productions, Marketing and Communications, Information Technology and other university stakeholders to plan and execute both temporary and permanent A/V setups with a customer service mindset. The position is a key member of the team in strategic planning for events, including special events hosted by the President and/or Cabinet members.

The position assists in designing solutions for recorded and live events. The Coordinator sets up, tests and operates technical equipment for live events, including university graduations, student banquets, community meetings, live-streamed town halls, etc.

This Coordinator works with various hardware, including projectors, sound systems, sound mixing equipment, video screens, lighting, etc. Some installed A/V equipment will also be under the care of the position.

The position assesses, repairs, and maintains equipment.


Major Responsibilities/Duties/Critical Tasks


  • Participates in strategic planning for university events that will be recorded or live streamed, including special events hosted by key stakeholders.
  • Coordinates, sets up, supports, run, and strikes A/V needs for external and internal events at the university.
  • Participates in strategic planning for large scale, executive level live events, groundbreakings, press announcements, and other live productions.
  • Maintains and troubleshoots A/V equipment including projectors, televisions, speakers, sound mixers, wireless microphones, video switchers, video scalers, and LED wall paneling.
  • Liaises with all internal stakeholders and external customers and communicates the technical needs before, during, and after events.
  • Participates in technical planning and life cycle replacement for A/V equipment.
  • Organizes and manages the A/V Events calendar across all UT Tyler campuses and events needs.
  • Maintains A/V equipment inventory.
  • Installs and services A/V technology, including audio systems, lighting, and custom touch screen tables.
  • Serves in an advisory capacity when evaluating existing or new A/V needs.
  • Oversees and manages part-time student assistants.
  • Completes other duties as assigned.


Required Education/Experience

  • Bachelor's degree.
  • Two (2) years of experience in operation and maintenance of A/V equipment.
  • May accept a combination of education and experience.


Preferred Education/Experience

  • Experience in designing solutions and live streaming events preferred.
  • Experience working with the following equipment preferred: Crestron Control Systems, Absen LED Walls, Dante Controllers, DMX Lighting Controls, Ultrix Routers, ProPresenter Software, General Streaming Technology, ATEM Video Switchers.

  • Maintains a full understanding of audio visual, broadcast, and video conferencing technology.
  • Demonstrates proficiency in the technical delivery of high-quality live events.
  • Maintains video output experience with a strong technical understanding of video systems.
  • Experience operating production and broadcast systems.
  • Excellent communication and customer service skills.
  • Ability to prioritize while adhering to critical project timelines in a fast-paced environment.
  • Experience managing day-to-day changes at every level of detail.
  • Ability to manage multiple projects concurrently at varying levels of complexity.
  • Ability to work with a significant degree of autonomy in a responsible manner.
  • Ability to work with all levels of faculty, staff, leadership, and students.

Additional Information

The retirement plan for this position is Teacher Retirement System of Texas (TRS), subject to the position being at least 20 hours per week and at least 135 days in length.

This position is security-sensitive and subject to Texas Education Code Section 51.215, which authorizes the employer to obtain criminal history record information. Applicants selected must be able to show proof of eligibility to work in the United States by time of hire.
