Job Summary

The Onboarding and Student Success Coordinator for Online Programs in the School of Nursing (SON) plays a pivotal role in supporting and facilitating a seamless transition for graduate school applicants and newly admitted graduate students in the School of Nursing. This position focuses on creating a welcoming and supportive environment for students pursuing advance nursing degrees, including Master of Science in Nursing (MSN), Doctor of Nursing Practice (DNP) and PhD programs. As the bridge between University Admissions, the SON Advising Center, and the online program manager (OPM), the Onboarding and Student Success Coordinator expands on the initial review of applicants performed by Admissions and the Registrar’s Office to ensure graduate candidates meet the extensive and complex requirements for admission to the School of Nursing’s various degree and certificate programs. The individual in this position collaborates with faculty, staff, and university departments to ensure all onboarding processes are completed efficiently and effectively, contributing to a successful start to each student’s academic journey. Additionally, the Onboarding and Student Success Coordinator will oversee and collaborate on efforts that foster engagement to enhance student retention and success.


Major Responsibilities/Duties/Critical Tasks

  • Develop and implement an organized onboarding process tailored to the needs of graduate nursing students.
  • Evaluate the effectiveness of onboarding programs through student feedback and performance data and address barriers to student success during the onboarding process.
  • Develop new initiatives to enhance the onboarding experience, such as peer mentoring programs or community-building events.
  • Coordinates with Admissions to lead students through the on-boarding process.
  • Review and verify application and enrollment documents, including RN licensure and CPR, BLS, and PALS certifications; verify that initial RN degree is from an accredited school recognized by the US Department of Education.
  • Facilitate GPA calculation of the last 60 hours of Undergraduate coursework for Graduate Nursing applicants. Provide personalized guidance to students on navigating institutional resources, pre-enrollment requirements, and School of Nursing requirements.
  • Partner with faculty to conduct virtual and in-person orientation sessions to familiarize students with university resources, policies, and program expectations.
  • Coordinate with academic advisors, program directors, and clinical placement teams to ensure all program-specific onboarding requirements are met.
  • Partner with IT, financial aid, and other university departments to troubleshoot and resolve student concerns.
  • Works with Admissions to monitor communication channels to keep students informed of deadlines, resources, and events.
  • Create and maintain and onboarding guide and checklists for graduate students.
  • Organize webinars, workshops, and informational sessions to address common questions and challenges for new students.
  • Support initiatives to enhance graduate student retention and engagement, particularly during their first semester. Collaborate with academic advisors and student success coaches to ensure early intervention for at-risk students.
  • Track and monitor student progress through the onboarding process using university systems.
  • Compile reports on onboarding metrics to evaluate and improve the effectiveness of processes.
  • Maintain accurate and confidential student records in compliance with FERPA and university policies.
  • Support accreditation and program review processes by providing documentation and reports as Work with the Registrar’s Office to document milestone achievements on transcripts.
  • Contributes to a work environment that encourages knowledge of, respect for, and development of skills to engage with those of other cultures or backgrounds.
  • Perform other duties and responsibilities related to those enumerated above which do not alter the basic level of responsibility of the position.
  • Other duties as assigned.


Required Education/Experience

  • Bachelor's degree in any related field of study.
  • Three (3) years of experience in related position.
  • May accept a combination of education and experience.


Preferred Education/Experience

  • Two (2) years as an Admissions Specialist or Academic Advisor, or equivalent position.
  • Relevant work experience in a role requiring high attention to detail and accuracy.
  • Exhibited proficiency with PeopleSoft, Microsoft Office, and ImageNow software.
  • Knowledge and experience in Nursing.

  • Strong computer skills. Excellent written and verbal communication skills.
  • Ability to process multiple concurrent projects according to all relevant policies and procedures and maintain high standards for both accuracy and attention to detail at all times.
  • Capacities to learn rapidly, maintain a wide knowledge base, show adaptability, and collaborate well with others.
  • Strong preference for customer service.


Other Information

Occasionally required to work some evening and weekends, typically related to registration periods at the beginning of each semester, commencement, Patriot Premier.

Additional Information

The retirement plan for this position is Teacher Retirement System of Texas (TRS), subject to the position being at least 20 hours per week and at least 135 days in length.

This position is security-sensitive and subject to Texas Education Code Section 51.215, which authorizes the employer to obtain criminal history record information. Applicants selected must be able to show proof of eligibility to work in the United States by time of hire.
