Job Summary
The School of Nursing’s Office of Research and Special Projects Coordinator is responsible for a wide range of logistical and operational tasks related to supporting research activities and special projects under the Associate Dean of Research’s office. This includes support of all researchers and the research workshop, planning special events at the three University campuses, the Health Science Center, and its communities. In addition, the Office of Research and Special Projects Coordinator will provide executive support to the Associate Dean for Research including support of the Institute for Health Innovation, Data Science and Research which requires an understanding of complex processes, data, and/or operations of a department. This role also interfaces with all Health Deans and the Office of the President to coordinate Institute Executive Board Meetings and activities.
Major Responsibilities/Duties/Critical Tasks
- Designs, coordinates and oversees the logistical and high-level support needs of multiple, complex, and widely distributed research activities, workshops/educational events, conferences and/or other events, on all three campuses and throughout our communities.
- Ensures all School of Nursing research office meetings and events run smoothly by organizing tasks, managing schedules, assigning work to team members, communicating progress to stakeholders, and overseeing the overall successful execution of events.
- Serves as principal source of information to researchers coordinating with the Office of Sponsored programs, graduate students supporting research, staff, and faculty on all activities supported by the Office of Research and the Institute.
- Oversee special projects assigned by the Associate Dean for Research, developing project plans, timelines, and budgets, and monitoring progress to ensure deadlines are met.
- Provide high-level administrative support to the Associate Dean for Research, including managing their calendar, scheduling appointments, coordinating meetings, and handling communications.
- Assist with research projects and initiatives related to SON research managing complex processes, data, and operations within the department.
- Serve as a liaison between the Institute and Health Deans, as well as the Office of the President, coordinating Institute Executive Board Meetings and related activities.
- Plan and coordinate events, conferences, boot camps, and workshops related to research and health innovation, managing logistics including reserving conference rooms, determining catering needs, preparing conference materials, tracking various expenditures and revenues, collecting fees, maintaining any necessary records, and ensuring successful execution.
- Maintain and organize files, records, and documents related to research and special projects, ensuring confidentiality and security of sensitive information.
- Assist with budget preparation and expense tracking for research projects and special initiatives, processing financial documents and monitoring expenditures within the SON and Health Sciences Center collaborative activities under the Institute.
- Handles registration and manages attendees, including ticketing, sending invitations, managing guest lists, and ensuring a seamless check-in process for special events.
- Takes charge of on-site event management on the day of the event by overseeing all logistical aspects, managing event staff, and coordinating speakers or performers.
- Provide extensive administrative support to the Associate Dean of Research including, but not limited to, maintaining their calendar and schedules; coordinating their meetings, travel, and other group activities; managing their expense reporting, invoicing; and taking minutes of their meetings as required.
- Perform other duties as assigned.
Required Education/Experience
- High school diploma or equivalent.
- Five (5) years of related experience or combination of experience and education
Preferred Education/Experience
- Bachelor’s degree or higher in field closely related
- Professional experience managing research

The retirement plan for this position is Teacher Retirement System of Texas (TRS), subject to the position being at least 20 hours per week and at least 135 days in length.
