Coordinator of Administrative and Business Operations
Job Description
This position is a versatile role that supports both the administrative and financial operations of the athletics department. This position provides executive level administrative assistance to the Athletics Director and Deputy Athletics Director while also supporting the Chief Financial Officer with essential business office functions. The ideal candidate will be detail-oriented, highly organized, and capable of managing a variety of tasks across multiple areas.
Administrative Support
Administrative Support
- Serve as the primary administra.ve coordinator for the Athletics Director and Deputy Athletics
- Director.
- Manage and maintain calendars, scheduling meetings, and coordina.ng appointments.
- Arrange travel itineraries, accommodations, and reimbursements for the Athletics Director and
- Deputy Athletics Director.
- Prepare correspondence, reports, presentations, and other materials as needed.
- Assist with planning and coordinating department events, meetings, and initiatives.
- Serve as a liaison between the athletics administration and other university departments, staff,
- and external stakeholders.
Business Office Support
- Assist the Chief Financial Officer in managing daily business operations.
- Input and track purchase orders, ensuring timely processing and accuracy.
- Coordinate the Athletic Department purchasing responsibili.es.
- Review and approve expense reports, ensuring compliance with university policies and
- procedures.
- Run and analyze various financial and operational reports as requested.
- Assist with maintaining accurate records of financial transactions, budgets, and operational
- data.
- Support the CFO with special projects and tasks related to the athletics department’s financial
- management.
Required Qualifications
Minimum Qualifications – Required
- Bachelor’s degree or equivalent combination of education and experience.
- Strong organizational and multitasking skills, with attention to detail.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook, and PowerPoint).
- Excellent communication skills, both written and verbal.
- Ability to handle confiden.al information with professionalism and discretion.
- Knowledge of NCAA regulations and athletics administration processes.
- Ability to work with minimal supervision and self-motivation.
- Ability to prioritize and coordinate office responsibilities and projects.
Preferred Qualifications
Preferred Qualifications
- Experience in an administrative or business office role, preferably within collegiate athletics or higher education setting.
- Familiarity with financial systems, purchase orders, and expense management software.
