Job Description
The Major Gift Officer Coordinator focuses on five major components: CRM management and report generation, supporting 8 major gift officers as they develop a donor pipeline, grant reports and stewardship, logistics around travel and events, and budget entry with Concur. This role requires strong organizational skills, attention to detail, and the ability to manage multiple tasks simultaneously.

- Manage and generate reports from the CRM system to support the major gift officers.
- Assist major gift officers in developing and maintaining a donor pipeline.
- Prepare grant reports and ensure proper stewardship of funds.
- Coordinate logistics for travel and events related to major gift activities.
- Enter and manage budget information using Concur.
- Provide administrative support to the Assistant Vice President, Gifts and Campaigns.
- Prepare expense and mileage reports and make travel arrangements with corresponding travel itineraries for multiple collegiate Directors of Development.
- Coordinate and prepare gifts for donor visits, greet guests, answer phones, and route incoming calls as needed.
- Compose routine correspondence and execute multiple mailings to key individuals by generating mailing lists.
- Create and maintain extensive queries in donor database, Excel spreadsheets, marketing lists, and merge documents in coordination of fundraising activities.
- Generate and distribute daily and weekly reports to each Director of Development, schedule campus site visits, and assist with special events.
- Utilize queries in Raiser’s Edge software to extract analytic reports on donor and fundraising activities to be utilized by frontline fundraisers.
- Assist Advancement staff on donor communications including daily preparation of gift acknowledgment letters.
- Maintain calendars for gift officers and assist with meeting and visit preparation. Create agendas, slides, and packets for in-person and virtual meetings with donors and prospects. Prepare detailed itineraries, maps, and donor background information for each collegiate unit’s Directors of Development for travel.
- Coordinate and process multiple mailings and electronic communications to identified donors for various fundraising objectives. Create distribution lists, coordinate printing and graphic design, schedule electronic delivery, and work with mail house when appropriate. Schedule communications from various colleges to avoid overlap or saturation.
- Reconcile pro-card expenses for Directors of Development and maintain pro-card records for audit.
- Serve as receptionist for the office, greeting guests, answering phones, and routing incoming calls as needed.
- Provide event support, including coordination with vendors on Advisory Board lunch meetings and assisting with university events by preparing nametags, place cards, and RSVP phone calls.
- Undertake other duties not specifically stated from time to time to best support the University of Tulsa faculty, staff, and students.
- Performs related responsibilities as required or assigned.

Required Qualifications
Equivalent Education/Experience
- Associate’s degree in business administration, nonprofit management, or a related field required.
- Must have 3 – 5 years of experience of clerical experience.
- Must have 1 – 3 years of experience in CRM management and report generation.
- Must have 1 – 3 Experience in supporting fundraising activities and donor relations.
- Bachelor’s degree preferred.
- Previous experience in a university or non-profit setting preferred.
Knowledge/Skill/Ability
- Proficient with Microsoft Suite.
- Strong understanding of CRM systems and report generation.
- Excellent organizational and time management skills.
- Exceptional written and oral communication skills.
- Proficient with Blackbaud Raiser’s Edge or similar CRM database.
- Demonstrated commitment to providing quality customer service.
- Ability to handle multiple tasks while meeting deadlines.
- Ability to maintain confidentiality.
- Demonstrated effectiveness in working with a variety of administrative levels and diverse groups of people.
- Knowledge of the importance of donor relations in university fundraising.
- Knowledge of Raiser’s Edge Software.

Physical Demands
Must be able to lift 20 lbs and tolerate seated work at a desk for the majority of the day.
