JOB TITLE: Associate Director of Gift Administration
REPORTS TO: Vice President and Chief Financial Officer
FTE: Full-Time
LOCATION: Burlington, Vermont
JOB-TYPE/HOURS: On-site.
EXPECTED SALARY RANGE: $65,000 – 85,000; plus, the UVM Foundation’s progressive benefits package, which includes: a comprehensive health plan; dental, vision, and life insurance; a robust paid time off package; a 403(b) plan with immediate vesting and contributions; and tuition remission.
EFFECTIVE DATE: June 1, 2025, or a negotiated date agreed upon by both parties.
JOB SUMMARY:
The Associate Director of Gift Administration supports fundraising and stewardship initiatives at UVM Foundation by effectively recording and tracking gifts that support the mission of the University. This staff member is responsible for ensuring fundraising data is accurately stored in accounting systems and donor databases as well as accurately reported to staff, campus partners, and other constituents. Through a combination of accounting knowledge and effective communication skills, the person in this role helps gifts to the University fulfill their intended purpose.
ESSENTIAL FUNCTIONS
20% System Set-Up for Donor Agreements
- Create and maintain gift and endowment accounts in multiple systems, including UVM Foundation accounting system and donor database, University of Vermont accounting system, UVM Foundation endowment database, and UVM Foundation donor agreement tracking system;
- Ensure accounting and other gift-related coding is consistent across all systems for purposes of internal and external reporting;
- Administer the donor agreement process from draft to execution, primarily during peak demand periods.
30% Recording Transactions
- On a daily basis, review and import contribution payments and adjustments into the accounting system from the donor database;
- On a quarterly basis, review, verify, and import contribution pledges and adjustments into the accounting system from the donor database;
- On a quarterly basis, review, verify, and import expenses charged by the University to UVM Foundation spending accounts from the University’s accounting system to UVM Foundation’s accounting system;
- On a quarterly basis, review, verify, and record distributions, gifts-in-kind, and other gift-related transactions for assets transferred to University from UVM Foundation.
20% Reconciling Systems
- Reconcile gift-related deposits to daily contribution payments to ensure all deposits are processed in the donor database and accounting system in a timely and accurate manner;
- Reconcile contribution payments between the donor database and accounting system to ensure donor accounts are properly credited;
- Reconcile budgets and actuals for contribution payments and endowment distributions between UVM Foundation’s accounting system and the University’s accounting system.
25% Reporting
- On a monthly basis, produce and distribute fundraising, endowment, and spending account reports;
- On a quarterly basis, review and record private philanthropic grants from the University’s sponsored programs system to UVM Foundation’s donor database;
- Ensure private grant proposals follow internal processing protocols and reports are distributed to funders per the terms of grant agreements;
- Generate from various systems, and import to the donor database, spending account and endowment data for reports to donors;
- Compile and submit data for fundraising benchmarks, federal compliance, 990 reporting, annual audits, endowment benchmarks, and ad hoc requests.
5% Other tasks as assigned

MINIMUM EDUCATION & EXPERIENCE
Bachelor’s degree in Accounting, Finance, Computer Science and/or equivalent work experience.
PREFERRED EDUCATION & EXPERIENCE
Experience with non-profit accounting, fund accounting, endowment accounting or non-profit corporate accounting. Experience in fundraising in a higher-education setting.Salary : $65,000 - $85,000
