Overview

The Medical Office Assistant - Physician Desk or \"Desk MOA\" is responsible for assisting providers and nursing staff in clerical duties related to patient care. Such duties may include, but are not limited to, processing disability claims, FMLA paperwork, and referrals for Illinois CancerCare patients. Employee will be responsible for performing duties in accordance with policies and procedures set forth by Illinois CancerCare and the Compliance Department. Employee must maintain patient confidentiality with a caring attitude for patients and their families.

Hiring Pay Range: $16.00-$24.00 per hour

Pay is based on several factors including but not limited to education, work experience, etc. As of the date of this posting, in addition to your salary, Illinois CancerCare offers the following benefits for this position, subject to eligibility requirements: Health, dental, and vision plans; wellness program; health savings account; flexible spending accounts; 401(k) retirement plan; life insurance, short-term disability insurance; long-term disability insurance, Employee Assistance Program; PTO, holiday pay, travel stipend (if applicable), and employee paid critical illness and accident insurance.

Responsibilities

  • Secures patient information and maintains patient confidence by keeping patient information confidential and adheres to all HIPPA regulations.
  • Complete, process and verify for accuracy any forms, letters or other patient-related documents in accordance with established procedures. Create and send patient correspondence as needed.
  • Such forms could include, but are not limited to, Disabilities, FMLA paperwork, Medical Marijuana, Handicap parking placards, etc.
  • Answer telephones, receive and send faxes, record messages in the EMR and provide routine information to RN and providers as needed.
  • Coordinate referrals with external facilities. (i.e. blood transfusions, hydrations, oxygen, hospice, home health, patient supplies and medical equipment)
  • Validate the authorization to release records to a third-party entity; ensure compliance with Health Insurance Portability and Accountability Act (HIPAA) regulations.
  • Under the direction of the RN, return calls to patients after receiving written or verbal direction.
  • Assist in administrative functions as directed by RN or Provider.
  • Adherence to the ILCC employee handbook, HIPAA policies and ILCC code of conduct.
  • Perform all other duties as assigned.

Special Physical Requirements

  • Requires full range of body motion, manual and finger dexterity and eye-hand coordination.
  • Requires sitting at desk for extensive periods of time.
  • Occasionally lifts and carries items weighing up to 25 pounds.
  • Requires working under stressful conditions or working irregular hours.
  • Requires normal vision range.
  • Requires the ability to distinguish and transcribe letters and numbers without transposition.
  • Hearing must be within normal range for telephone contact.
  • Requires occasional bending, reaching, squatting, stooping.

SAFETY CONSIDERATIONS/TYPICAL WORKING CONDITIONS

  • The employee has limited exposure to toxic substance and is expected to be familiar with the dangers and proper handling of such.
  • The employee is exposed to communicable diseases and other conditions common to the clinical environment.
  • Safety policies and good health practices are to be understood and observed.
  • Work is performed in an office environment with frequent contact with staff and patients.
  • Work may be repetitious, and in a high-stress environment.
  • Contact may involve dealing with angry and/or upset people.

  • Ability to learn examination, diagnostic and treatment room procedures.

  • Ability to work in a team environment.
  • Ability to maintain good working relationships with co-workers and providers.
  • Knowledge of common safety hazards and precautions to maintain a safe work environment.
  • Ability to learn all duties listed in the job description.
  • Ability to respond calmly, compassionately, and effectively with issues relating to patient care or emergencies.

Qualifications

Education and Experience Required

High School graduate or GED and one year of clinical experience.

Thorough knowledge of medical terminology.

General clerical experience with exposure to the medical field. (Oncology preferred)

Licensed Practical Nurse (LPN), Certified Medical Assistant (CMA), or Certified Nurse’s Assistant (CNA) preferred.
