Job Description

  • Maintaining the office, organization and presentation
  • Schedule meetings, reserve space, meeting set up and requests for food and supplies
  • Assist with in house presentations
  • TEAMS Meeting support in office
  • Reserve and coordinate office calendar and hoteling for guest spaces
  • Office supply inventory, ordering, and distribution
  • Coordinate with purchasing department for supplies, equipment, and project related requests.
  • Managing deliveries and overnight shipping
  • Data Input for proposal and project set up for all practice areas in Salesforce
  • New employee office tour and set up
  • Notary services
  • Respond to admin email requests
  • Assist with one off time and expense entry
  • Assist with one off travel arrangements
  • Communicating administrative policies
  • Assisting in the Implementation and adherence to company policies and procedures
  • Assist Operations Team in the collation of reports and sending them to client
  • Creating links to cloud storage for data management for clients and Vertex Team.
  • Distribute templates received from Marketing
  • Assist in resume updates
  • Maintain Phone and Office Directory
  • Answer Corporate phone messages and distribute appropriately

Qualifications

  • Bachelor’s degree preferred or equivalent experience.
  • 2 years of professional experience in office administration
  • Strong attention to detail and commitment to quality
  • Working proficiency with standard office applications (Office, Adobe, etc)
  • Excellent verbal communication and professional / technical writing skills in English
  • Positive attitude and customer service orientation with strong sense of urgency and follow through - takes initiative
  • Self-motivated with ability to work independently and be a team player
  • Excellent organization skills and ability to prioritize tasks
