Description
The Village School of Naples continues to grow and is accepting resumes for a Registrar. The Village School values inquiry-based, student-centered learning aimed to empower and inspire students to create solutions to challenges faced in an ever-changing world.
The Registrar’s primary responsibility is to establish and maintain accurate, up-to-date student records for Junior Kindergarten through 12th grade using the school’s Student Information Database software. The Registrar responds to requests for student information, updates student transcripts, and provides database support and expertise for the admissions and development departments. This position also manages day-to-day scheduling, coordination, and administrative duties for the Head of Upper School/Assistant Head of School.
DUTIES AND RESPONSIBILTIES:
- Establish and maintain permanent student records, including enrollment, academic, personal, and withdrawal information.
- Maintain accurate data regarding current and new students, including grades, credits, test scores, and other information.
- Create and manage the master course schedule, updating master schedule information, and collaborating with divisions to schedule students.
- Register new students, request records from previous schools, evaluate transcripts for placement, and distribute student information to faculty, staff, and administrators.
- Track student graduation requirements and collaborate with faculty, administration, and college counseling on report cards and transcripts.
- Coordinate with Admission, Business Office, and Advancement Office to process year-end rollover and academic year progression of student database records.
- Compile, prepare, and maintain various data, records, and reports related to students, testing, grades, eligibility, transcripts, school directory, and the master schedule.
- Coordinate and distribute electronic mailings to students, parents, and community members.
- Serve as liaison with College Counseling to enter student demographic information in Naviance eDocs, record transcripts with the Florida Department of Education for Bright Futures Scholarships, and generate/distribute transcripts.
- Manage the annual order and distribution of textbooks.
- Generate quarterly report cards.
- Collaborate with the school nurse on the Immunization Annual Report of Compliance.
- Answer incoming phone calls and provide information as needed for the Division Head.
- Handle parent visits and student summons to the Division Head’s office.
- Call parents and send communications as needed.
- Adhere to all school policies and professionally communicate them to parents.
- Provide administrative support to the Division Head, including calendar management, correspondence, spreadsheets, and phone messages.
- Assist the Division Head in preparing special events such as FCIS accreditation visits and assemblies.
- Follow all emergency procedures and protocols.
- Maintain a high level of confidentiality.
- Perform other duties as assigned.
Requirements
- Bachelor’s degree in business or related field.
- 3-5 years of experience in database management or equivalent.
- Strong computer skills, including Student Information Software (Blackbaud preferred), databases, Google Docs, Sheets, and Slides.
- Ability to prioritize multiple projects, maintain accuracy and attention to detail, and meet deadlines.
- Self-starter with excellent decision-making capabilities.
- Effective written and oral communication, organizational, and interpersonal skills.
- Excellent customer service skills.
- Commitment to maintaining confidentiality.
