The Staffing Coordinator’s primary responsibilities will be to schedule medication aides and caregivers on a monthly basis. The Staffing Coordinator will be responsible for making sure shifts are covered at all times and will work with Assisted Living Director and Executive Director when unexpected absences occur. Staffing Coordinator may be subject to report in to work when staff are unable to report for their scheduled shift. The staffing coordinator must be proficient in the job duties of a medication aide and a caregiver. Staffing coordinator will be proficient in assisting in the administration of medications to residents as ordered by the attending physician, under the direction of the attending physician, and Assisted Living Director and in accordance with established nursing standards, the policies, procedures and practices of the property, and the requirements of the state. Responsible for maintaining a current accounting of all medication’s residents are taking and the documentation required for that process. Responsible to report all change in status of residents as it relates to assisting with medications. Reports to: Assisted Living Director.

1. Assists Director of Assisted Living in developing and posting a work scheduled for all caregivers and medication aides. Manages the schedule throughout the month, documenting all changes on the schedule, and makes arrangements for staff replacement during absences. Covers shifts as necessary.
2. Coordinates services and assignments for and with caregivers assigned to the area. Assures caregiver skills matches the needs of assigned resident.
3. Maintains monthly weight binder and communicates with physicians on weight fluctuations as needed.
4. For residents as assigned, maintains resident files and assures that all information is accurate and up to date including physician reports, physician orders, service plans and assists with medication room audits in coordination with Assisted Living Director.
5. Meets with families and/or responsible parties for residents to create and maintain service plans and appraisals.
6. Makes rounds daily to go greet residents as assigned to evaluate services including care, food, intake, housekeeping, activity participation, and apartment maintenance. Visits each resident in their apartment at least weekly but more often if appropriate or necessary.
7. Assures regulatory compliance including areas pertaining to residents, apartments and common area. Assists in surveying residents’ apartments for items deemed non-compliant per state regulations and secures items to be returned to responsible parties.
8. Participates in meetings that benefits coordination of services including safety committee and level of care with Assisted Living Director.
9. Coordinates discharge plans when appropriate. Coordinates move outs when Assisted Living Director is not present.
10. Investigates and completes reports regarding any incident when Assisted Living Director is not present.
11. Follows all rules, regulations, polices and guidelines as outlined in Sequoia Senior Living Employee handbook.
12. Performs all duties in a safe way. Participates in the safety program.
13. Assists in appropriate filing and maintaining residents’ charts.
14. Assists in the completion and maintains oversight of cycle meds on a monthly basis.
15. Assists residents with their daily medications, treatments and resident care as assigned and within the scope of practice, policy and procedures and Title 22 Regulations.
16. Observes and verifies that medication is ingested or applied as directed. Document any instance where prescribed medication is not administered, including reason(s) for refusal and notify supervisor and/or Executive Director.
17. Maintains accurate, complete and confidential resident medication and care records according to established procedure and state law.
18. Keeps medicine carts and areas orderly, clean and appropriately stocked and locked. Maintains upkeep and cleanliness of medicine carts and medication rooms.
19. Assist caregivers in the performance of their job and assume caregiver activities when needed.
20. Coordinate medication services with resident, pharmacy and physician. Prior to resident’s arrival, verifies medications and proper dosages with physician. Medication is not to be dispensed until verification with physician is complete.
21. Tracks all orders for medication changes and/or refills.
22. Participates in and complete narcotic count at beginning and end of each shift. Report any and all discrepancies to Assisted Living Director or Lighthouse Care Director immediately.
23. Prepares medication for distribution to residents as per the SSL Medication Policy.
24. Communicates with physicians and family members as appropriate.
25. Observes and communicates to Assisted Living Director, Lighthouse Program Director or shift supervisor any changes in resident physical or mental status.
26. Be familiar with the meaning and usage of common medical abbreviations, symbols and terms relative to the administration of medications as used by the residence, pharmacists and physicians.
27. Demonstrates knowledge of infection control, i.e., adequate hand-washing, blood borne pathogens procedures, universal precautions, etc.
28. Maintains all required licenses/certifications as required by state law.
29. Reports occupational exposure to blood, body fluids, infectious materials, and hazardous chemicals in accordance with the property’s policies and procedures governing accidents and incidents.
30. Per State of California regulations, as a “mandated reporter” you must report all known or suspected incidents of resident abuse of dependent adults or elders.
31. Provides support to community’s marketing efforts through positive/friendly interaction during all property tours and telephone contact with the public, and as directed by a supervisor.
32. Maintains a safe and secure environment for all staff, residents and guests, following established safety standards.
33. Encourages teamwork through cooperative interactions with co-workers and other departments.
34. Supports a positive and professional image through actions and dress.
35. Performs other duties as may be required.
