Summary: The Receptionist and Guest Services Assistant is the face and voice of The Webb School. The Receptionist executes a daily professional and welcoming environment contributing positively to employee morale and maintaining a warm and pleasant demeanor with students, parents, alumni, faculty and staff.
Summary of Responsibilities:
Front Office:
- Monitor all access/security to the Administrative Building.
- Primary receiver of all incoming Webb main line phone calls with the same positive and professional demeanor and distribute calls accordingly to the needs of the caller.
- Hostess for all meetings in the Administrative Building.
- Check-in all visitors and issue badges.
- Keep the lobby, reception area, conference room, and mailroom free of clutter and trash.
- Maintain any house plants or Holiday plants for the Administrative Office and Chapel when necessary.
- Maintain decorum in the lobby and reception area with students.
Mail and Packages:
- Receive and distribute all mail and packages for the entire student body, faculty, staff, including all faculty residences. Proficient in using all mailroom equipment including the postage meter.
- Assist in all large school mailings.
- Monitor and fill paper levels in the copy machine each morning. Help organize office supplies. Maintain efficiency of the Faculty and Staff Administrative copy machine including but not limited to maintenance.
- Fed-X Shipping coordinator for all students, faculty and staff.
- Set up Faculty mailboxes at the start of each school year.
- Assist students with their packaging, band-aids, feminine products and shipping needs.
Other Duties:
- Maintain the coffee machine: fill coffee beans, water, clean, and order supplies.
- Maintaining the water cooler flow for the Administrative Office. Maintain water for hosting.
- Produce Driving Hardship request letters for the students signed by the Head of School.
Functions:
- Assist Event Director with specialty projects.
- Attend All Faculty and Staff meetings.
- Attend Baccalaureate and Graduation Ceremony.
- Attend The Webb School functions when invited by the Head of School.
- Maintain and manage all reservations and calendar for both the Chapel events and Administrative Office conference rooms.
- Coordinate conference meetings for the Student Support Groups and Emerging Voices Faculty Grading meetings.
Annual Webb School Craft Fair Residential Vendor Coordinator:
- Plan, coordinate, and execute all logistics and communication for the vendor rental of the Webb property, aka: The Walker Inn for the Webb School Craft Fair.
Knowledge, Skills and Abilities:
- Ability to read and interpret documents; ability to write routine reports and correspondence; ability to communicate clearly and courteously with parents, students, faculty and staff.
- Ability to work with foreign students with limited English language skills.
- Knowledge of modern office procedures and methods, including telephone and personal communications, office systems, and office equipment.
- Knowledge of modern business communications, including proper grammar, style and format.
- Skill to use personal computers, various software applications, and the local access network.
- Able to establish priorities, work independently, and proceed without constant supervision.
- Able to work with parents, alumni, students, faculty and staff in a cooperative, courteous, and in a professional manner.
- Must be easily understood when communicating.
- Able to carry out written or oral instruction and handle and resolve recurring problems.
- Able to sit for long periods of time and to hear, see and speak with visitors.
- Able to distribute mail by reaching high (6.5 ft) and bending low to ground and be able to lift up to 40 lbs.
- Able to see both close (reading distance) and far away.
- Knowledge of Google Workplace, Word, Excel and Zoom
Qualifications:
- Courses in secretarial and office administration.
- One year of related experience and/or equivalent combination of education and experience.
- Familiarity with the culture of an independent school.
- Strong organizational, leadership, decision-making and supervisory skills.
- Read, write and communicate effectively in English.
- Basic computer skills.
- Ability to follow directions and give clear directions with appropriate follow-up.
Special Requirements:
- Maintain the strictest confidentiality concerning all matters learned in the course of his/her employment.
- Willingness to work overtime, holidays, and weekends as requested by the supervisor.

Pay: $15.38 - $19.23 per hour
