The Weitz Company is hiring a Project Coordinator for our office in Fort Lauderdale! This role is responsible for project accounting, document management, and project administration on assigned projects. The Project Coordinator will maintain open communication between all personnel to ensure all project tasks are accomplished in a timely and accurate manner. What You’ll Do:

  • Responsible for managing the day-to-day operational needs of the office, including maintaining supplies, coordinating basic maintenance, ensuring a clean/organized workspace, checking the mail, and communicating with the landlord as needed
  • Obtain and review subcontractor and vendor pay applications monthly, prior to the project team, to identify issues including unapproved change orders, mathematical errors, etc.
  • Process subcontractor pay applications for payment
  • Prepare monthly owner pay applications using AIA G702/G703 excel documents, subcontractor pay apps and job cost reports to create a complete financial billing
  • Manage and distribute contract status reports and other cost reports
  • Verify all invoices are correct and coded appropriately prior to processing for payment
  • Identify discrepancies, at least monthly, between Procore and JDE
  • Track Notice of Commencements, subcontractor/vendor lien releases
  • Track subcontractor enrollment into CCIP/OCIP to be sure it happens prior to work starting onsite and write change orders as necessary on a timely basis
  • Assist project team with pre-qualifications, contract execution, invoices, change orders, and other requested documents
  • Process and verify subcontractor contracts, subcontractor bonds, and insurance requirements are in place with proper coverages prior to commencement of work; monitor expiration dates and renew as needed
  • Organize closeout information in conjunction with project team

What We’re Looking For:

  • Experience:
    • 2 years of experience with basic accounting and/or invoicing experience required
    • Previous experience as a Project Coordinator in the construction industry is desirable
    • Certified Public Notary is a plus
  • Skills:
    • Excellent written and verbal communication skills
    • Strong organizational skills and a high attention to detail
    • Ability to exercise independent judgement
    • Flexibility to coordinate multiple projects
    • Project management skills
  • Technology:
    • Proficient in basic computer software including Excel, Microsoft Word, Outlook, and PowerPoint
    • Ability to learn specific job-related software upon hire
