The Wellness Institute of Michigan, a private mental health counseling practice located in Okemos, has an immediate opening for an office assistant. This role requires 40 hours per week. The hours of work for this position are Monday 8:30-5:30, Tuesday thru Thursday 9:00 - 5:30 and Friday 8:00 - 4:00.

JOB SUMMARY:
The person in this position provides front desk reception service to patients and visitors at the practice and a multitude of clerical services to the mental health therapists on staff. The office assistant works with the front staff team to facilitate the day-to-day operations of the practice.
DUTIES & RESPONSIBILITIES:
1. Answering phone, taking messages, checking insurances and patient eligibility for services, ability to use and apply information from various health insurance websites, determine and apply insurance information to match therapists with appropriate patient benefits. Conduct patient intakes, with prospective new patients to collect accurate demographic information required for scheduling patients.
2. Scheduling patients utilizing internet-based scheduling software.
3. Checking in patients and accepting and processing payments from patients through internet-based software.
4. Managing requests for patient records.
5. Maintaining patient data and charting utilizing internet-based software.
6. Performing basic office tasks—copying, filing, faxing, scanning, emailing.
7. Communicating with therapists daily.

6. Strong written and verbal communication skills, and math skills.
7. Proficiency in Word, Excel, and Windows.
8. Ability to learn new software applications as needed.
9. Flexibility in handling job duty changes. Ability to multitask and manage busy days.
10. Excellent attendance and dependability.
PHYSICAL DEMANDS:
1. Daily light cleaning, disinfecting, and straightening of office.
2. Typical office environment which involves sitting at a desk and computer screen throughout the day.
MINIMUM QUALIFICATIONS:
EDUCATION: High school diploma is required; some college preferred.
EXPERIENCE: Minimum 3 year experience in a medical or mental health office or environment or equivalent related experience.
