Clerical Assistant - Employee Health and Infection Prevention
Full Time Day Shift 8am-4 : 30pm Monday-Friday
Pay rate between $17-$18.53 / hour
based on experience and shift differential)

What will I do as a Clerical Assistant for The Wesley Community?
- Assist the Employee Health Coordinator and Employee Health Nurse in the planning, developing, organizing, implementing and evaluating employee health needs.
- Interpret the facility's personnel / in-service policies and procedures to employees, residents, family members, visitors, government agencies, etc.
as directed by the Infection Control Coordinator and Employee Health Nurse of Human Resources.
- Create and maintain an atmosphere of warmth, personal interest, and positive emphasis, as well as a calm environment throughout the facility.
- Maintain an adequate filing system.
- Maintain confidentiality of all personnel information.
- Release information in accordance with established policies and procedures.
- Ensure that personnel / in-service functions are carried out promptly for an efficient operation.
- Give oral reports / recommendations to the Employee Health Coordinator and Employee Health Nurse of Human Resources concerning administrative procedures.
- Assure that the office is maintained in a clean and safe manner and that necessary equipment and supplies are maintained to perform required duties.
- Assist in standardizing the methods in which work will be accomplished.
- Assist in administrative studies and projects as assigned or that may become necessary.
- Schedule appointments, process mail, answer phones, etc. Keep the Infection Control Coordinator and Employee Health Nurse of Human Resources advised of meetings, appointments, as necessary.
- Respond to inquiries in a courteous manner. Refer to appropriate staff personnel as required.
- Type and prepare confidential reports, statistical and financial data as directed.
- Proofread and correct letters, drafts, reports, etc. for grammar, punctuation, spelling, etc.
- Prepare, update and file education forms, in-service schedules and registrations.
- Assist with obtaining and preparing education information, supplies and class material.
- Help Infection Control Coordinator and Employee Health Nurse of Human Resources with personnel paperwork.
- Other related duties and responsibilities that may become necessary or as directed by the Infection Control Coordinator and Employee Health Nurse.
- Create and maintain data in both database and employee chart on all employees, consultants and volunteers to ensure that annual requirements, as established by NYSDOH are met.
- Assist with Influenza Vaccination program as directed by the Employee Health Coordinator.
- Assist with Modified Duty Program as directed by the Employee Health Coordinator.
- Create annual lists of previous employees, boxing and appropriately labeling charts for off-site storage.
- Retrieves records from off-site storage by contacting Total Recall to request needed records.
Clerical Assistant Requirements :
- High school education.
- Business education in typing and filing preferred.
- Training in medical and nursing terminology preferred.
- Previous work experience in a medically oriented facility is preferred.
- Experience in Microsoft Word Suite (Word, Access, Excel, Outlook, etc.) experience.
