Overview
We are seeking a detail-oriented and proactive Administrative Assistant to join our team. This role is essential in ensuring the smooth operation of our skilled nursing facility and providing support to various departments. The ideal candidate will possess strong organizational skills, excellent time management abilities, and a commitment to delivering exceptional customer support.
Shift: Predominantly 8:00 am to 4:30 pm, Mon-Fri, some variance may occur and include a shift on a Saturday or Sunday
Duties
1. Assists with creating all resident statements out of Point Click Care and reviews for accuracy before distributing them.
2. Facilitates invoices daily through notification mailbox, distributes to managers and files paid invoices according to vendor.
3. Prepares and organizes materials for board meetings.
4. Inputs all new resident information into Point Click Care, including but not limited to, basic resident information, family contact information, allegories, Primary Care Doctor, etc.
5. Handles all inquiries for information on Skilled Nursing, mails information out, maintains waiting lists, schedules and conducts tours and visits.
6. Assists in timely communication with external agencies and partners as needed for various departments.
7. Maintains and monitors QAPI each month to ensure all department heads turn in reports and summaries.
8. Works with all Department Heads to assist in anything that is required.
9. Provides coverage of reception desk as needed for breaks/lunches.
10. Maintains up to date and accurate records in WeCare Connect for staff and residents.
11. Maintains up to date and accurate records in OneCall for staff and residents.
12. Maintains up to date and accurate facility phone listing.
13. Types lists, letters and reports as necessary.
14. Handles reporting and computer issues.
15. Maintains stock of office supplies and other supplies as needed and communicates needs as they arise.
16. Attends meetings and trainings as needed.
17. Complies with all federal regulations, maintains the integrity of the facility’s corporate compliance program, and abides by all HIPAA laws and regulations.
18. Performs other work-related duties as assigned.
Maintains a safe work environment and exhibits safe work practices, ensuring resident safety
Education & Experience
1. High school diploma or GED is required.
2. Advanced classes in business preferred.
3. At least two (2) years' experience in a healthcare accounting/billing setting.
4. Must be able to relate to and work with ill, disabled, elderly, emotionally upset, and at times hostile people within the facility.
5. Ability to use computers, proficient using Microsoft Outlook, Word, Excel, PowerPoint
6. Ability to organize and establish systematic method for even flow of work.
7. Ability to work with minimal supervision and within a team

Pay: $17.00 - $18.50 per hour
