Group Reservations Coordinator
The Windsor Court seeks a highly organized and detail-oriented Group Reservations Coordinator who works closely with Front Office, Sales, Accounting, Conference Services, and Reservations to ensure excellent customer service and the highest level of accuracy in bookings is always provided. This role creates and maintains group room blocks, booking links, and reservations to accommodate guests. It must ensure that clients are provided with the required types of rooms, facilities, and services. This position handles all reservations in a friendly and efficient manner and quotes available rates to maximize room revenue and average rates according to standards. The role is prominent in improving the hotel's occupancy by ensuring group rates and inventory are consistently monitored and updated as needed.

Group Reservations Coordinator
The Windsor Court seeks a highly organized and detail-oriented Group Reservations Coordinator who works closely with Front Office, Sales, Accounting, Conference Services, and Reservations to ensure excellent customer service and the highest level of accuracy in bookings is always provided. This role creates and maintains group room blocks, booking links, and reservations to accommodate guests. It must ensure that clients are provided with the required types of rooms, facilities, and services. This position handles all reservations in a friendly and efficient manner and quotes available rates to maximize room revenue and average rates according to standards. The role is prominent in improving the hotel's occupancy by ensuring group rates and inventory are consistently monitored and updated as needed.
Responsibilities
- Enters new rooming lists and makes changes to existing group reservations
- Creates booking links for groups and communicates them with the sales managers
- Completes group pickup reports and completes citywide group audits in a timely manner
- Produces and distributes weekly cutoff reports to the sales & conference services team
- Assists with making reservations for the Sales team as needed
- Sets up group billing
- Creates and keeps updated files on all upcoming groups upon receipt of turnover.
- Acts as a liaison between group sales, conference services, catering and front offices
- Reviews group no-shows with Catering & Conference Services Manager daily
- Handles small entertainment & corporate transient groups, working with the Director of Transient & Business Travel
- Reviews rooming lists for accuracy, format, and billing before group arrival
- Works with Revenue team on yielding of group blocks
- Assists transient reservations with reservation sales calls as needed
- Attend Group Resume, Preconference, and Reservations meetings, as well as client meetings when necessary
- Be well-informed to answer guests’ questions about the property accurately.
- Maintain open communication channels with other departments, passing along pertinent information in a timely manner to ensure the group’s program is successful.
- High school diploma or equivalent; college degree preferred
- 2 years of experience in hotel reservations or related field
- Excellent communication and customer service skills
- Strong organizational and time management skills
- Ability to work well under pressure and meet deadlines
- Proficient in Microsoft Office and hotel reservation systems
