Lead-Spa Concierge/Coordinator

The Lead Concierge is responsible for setting up and maintaining the functions of the reception area, greeting all visitors, managing day-to-day communications on a variety of fronts, and assisting the Director/GM with administrative tasks.
Primary Responsibilities Include:
Being a steward of the Woodhouse brand.
Maintaining and executing effective and efficient operations of the front desk area including
but not limited to maintaining guest appointments, guest check-in/out process, and
managing internal & external communication.
Greeting guests promptly and graciously.
Determining the true needs of guests and delivering an exceptional experience.
Answering and directing all incoming phone calls to the appropriate person and/or taking and
distributing messages promptly and accurately.
Managing incoming and outbound mail. Accepts and logs packages; manages
inbound/outbound packages and online gift card sales.
Communicating policies and procedures to staff.
Having a thorough knowledge of emergency procedures and alarm systems and acting as
the point of contact throughout emergencies until relieved of this duty.
Communicating and delegating work tasks to team members and providing follow-up to
ensure responsibilities are completed promptly and to expectation.
Assisting in maintaining accurate guest and staff contact information along with accurate
guest appointments.
Assisting leadership with administrative tasks as assigned.
Attending training courses and participating in professional development activities as
required.
Reporting any suspicion or unethical behaviors to leadership.
Knowledge and Skill:
Must have excellent verbal skills and communication abilities.
Ability to work effectively within a team-based environment.
Strong time management and organizational skills.
Must have excellent computer skills, including Word, Excel, Outlook, PowerPoint, and point-
of-sale platforms.
Ability to efficiently operate all functions of the telephone system.
Must comply with all company policies and procedures.
Regular and consistent attendance is required to perform the essential functions of this position. Must be able to work well with team members, and managers, and interact with guests. Must have the flexibility to work Sundays.
Lead-Spa Concierge Classification: Full-Time
Qualifications:
• High school diploma or equivalent required. • Ability to work in a fast-paced environment and maintain professionalism. • Ability to pivot and navigate through change management. • Comfortable interacting with guests in a spa setting. • Leadership experience in a similar role or front-office operations. • Comfort level with driving company sales goals and initiatives. • Proficiency in English language (reading, writing, and verbal). • Computer proficiency. • Previous customer service and telephone reservations experience. • Basic accounting skills (for daily closing procedures).
