Data Entry Specialist

Summary:
The Data Entry Specialist is responsible for accurately entering, updating, and maintaining data in support of code enforcement and residential inspection programs. This role requires attention to detail, strong organizational skills, and the ability to meet deadlines in a fast-paced environment. Experience with substantial damage assessments is highly preferred, as this position involves handling specialized data related to disaster recovery, property inspections, and regulatory compliance.

Location: Various locations within Pinellas County (Must be willing to travel if needed)

Duties and Responsibilities:

• Accurately enter and maintain data related to code enforcement, residential inspections, and substantial damage assessments into databases and tracking systems.
• Verify and cross-reference information to ensure accuracy and consistency of entered data.
• Review inspection reports, damage assessments, and related documentation for completeness before entry.
• Assist with the preparation of reports, summaries, and data analyses as requested by management or field staff.
• Support the substantial damage assessment process by organizing and entering critical data, including inspection outcomes, property conditions, and compliance statuses.
• Work closely with code enforcement officers, inspectors, and administrative staff to resolve discrepancies or clarify data issues.
• Maintain organized digital and physical filing systems for data and records to ensure efficient retrieval.
• Respond to data requests and provide updates to relevant team members in a timely manner.
• Adhere to confidentiality standards and data security protocols to protect sensitive information.
• Assist with special projects or additional administrative tasks as needed to support department goals.
• Performs other job related duties as assigned.

Qualifications, Knowledge, Skills, and Abilities:

High school diploma or equivalent; additional coursework in data management, business administration, or a related field is a plus. Minimum of two years of experience in data entry, records management, or a similar role; experience in substantial damage assessments or disaster recovery is highly preferred.

• Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and experience with database management systems.
• Strong attention to detail and accuracy in data entry and record-keeping.
• Excellent organizational skills with the ability to manage and prioritize multiple tasks.
• Strong communication skills to interact effectively with team members and resolve data discrepancies.
• Ability to work independently and meet deadlines in a fast-paced environment.
• Familiarity with substantial damage assessment processes, FEMA regulations, or disaster recovery programs is a significant advantage.
