POSITION SUMMARY
Position is responsible for various clinic front-office administrative responsibilities as outlined below. The clinic front-office is a high-intensity, fast paced environment, and because of the critical impact this position has on Behavioral Health department efficiency, the employee must be punctual, and have excellent attendance. Understanding conflict resolution is a benefit with this overall population. Willingness to work a flexible nontraditional schedule is required.
REPORTING RELATIONSHIPS
This position reports to the Behavioral Health Manager. No other roles report to this position.
JOB DUTIES & ESSENTIAL FUNCTIONS
While living and demonstrating our Core Values, the Clinical Administrative Assistant will:
- Schedule patient appointments and follow-up visits for all BH patients
- Monitor the call log, and transfer to BH staff triages
- Schedule patients for staff psychiatrists and psychiatric NPs
- Responsible for calling patients to reschedule appointments & follow up with no shows
- Work with psychiatry residents’ schedules to ensure there is 1 resident to 1 psychiatrist
- Register patients and verify/update demographics and insurance information.
- Intake and check out of patients
- Ensure copays are collected at time of visit
- Manage patient information in Electronic Medical Records system
- Perform cash account management activities
- Verify insurance information from patients
- Scan patient records into the EMR
- Comply with commercial and Medicaid insurance plan rules for services requiring prior authorization
- Create triages within the EMR system
- Mail and receive new patient information packets
- Answer and return phone calls in a timely fashion
- Switch phones to night/weekend service
- Perform other duties as assigned
- Adhere to all Confidentiality and HIPAA rules and regulations at all times
- Complete BH phone screens as directed
- Mail no show & missed appointment letters
Requirements
QUALIFICATIONS
- High school diploma or equivalent
- Associates or Bachelor’s Degree preferred
- Previous front-office experience (2-4 years) in a high-volume medical practice desirable
- Experience with MEDENT or other EMR software a plus
- Knowledge of medical terminology and insurances
- Proficiency in Word, Excel, PowerPoint and E-mail
- Must be reliable and punctual
- Must have attention to detail
- Must be able to perform effectively in a fast-paced environment with many changing priorities
- Must be professional and customer service oriented to deliver quality excellent care
- Ability to work independently and with a team
- Professional written and verbal communication and interpersonal skills
- Willingness to work a flexible schedule
- Working knowledge of Behavioral Health /Addictions
