POSITION PURPOSE

The Nonprofit Services Coordinator is a collaborative position that works with the Nonprofit Services team to support and achieve program goals and desired outcomes. The coordinator will perform a wide variety of responsibilities including specialized administrative and program-related tasks. This role is responsible for EFAP compliance, roll out and enforcement of CDSS / USDA policies, and opening new EFAP sites. Additionally, responsible for implementing and maintaining systems to improve program efficiencies, and capacity building with other partners, and must be able to work well with a variety of nonprofit programs throughout San Diego County.

PRIMARY RESPONSIBILITIES

  • Conduct monitoring visits and provide support to EFAP distribution sites. Address non-compliance issues by retraining agency staff, both verbally and in written form.
  • Screen and establish new EFAP sites with a focus on underserved communities. Collaborate with teams to plan distributions aligning with logistical and community needs. Provide training and distribution launch support. Prepare all materials for opening a new distribution location.
  • Develop plans and materials for participant redirection when sites are terminated. Focus on reopening new distribution sites in the vicinity promptly.
  • Review monthly inventory and report statistics for accurate documentation and certification compliance. Notify and retrain agencies not meeting eligibility guidelines.
  • Draft regular correspondence and communications regarding compliance procedures for EFAP Partners. Address pressing issues at distribution sites, such as inventory, closures, reporting, and civil rights. Produce the Monthly Dish newsletter containing crucial information for EFAP partners.
  • Work collaboratively with EFAP & Neighborhood Distribution Supervisor on annual projects such as the Civil Rights Training and updating household income guidelines. Assist with roll out of new CDSS policies and implementation of new distribution models.
  • Handle participant and agency complaints, ensure proper documentation, communicate with agencies, and seek resolutions.
  • Foster relationships with EFAP Partners and identify opportunities for capacity building in various community food programs.
  • Respond to inquiries related to EFAP and Food to Nonprofit programs from participants, nonprofits, volunteers, and the public. Collaborate with specialists and agency teams to resolve EFAP-related issues.
  • Update agency contacts and distribute information in the Primarius database. Maintain documentation of agreements, tax statuses, Unique Entity ID’s, Board of Directors, and Civil Rights Coordinator Designation for agencies.
  • Create annual participant calendars and maintain accurate public information about food distribution sites on relevant platforms. Update distribution changes promptly with urgency.
  • Serve as a backup for leading EFAP monthly trainings.
  • Represent the Food Bank at community events and collaborative meetings.
  • Provide occasional coverage for Nonprofit Food Center's operations by checking agency status, scheduling appointments, handling payments, and facilitating electronic signing for food.
  • Other duties as assigned.
  • EDUCATION, TRAINING and EXPERIENCE

  • 2 years of progressively responsible experience in a non-profit organization.
  • Graduation from high school or G.E.D equivalent.
  • Bachelor’s degree in related field preferred.
  • Combination of education and experience that otherwise obtains the knowledge, skills and abilities outlined above.
  • IDEAL CANDIDATE

    The ideal candidate will have superb attention to detail, excellent customer service, be self-motivated, have excellent time management skills, have the ability to work independently with minimal direction and follow through. They are tech-savvy and learning agile with the ability to teach and train others on systems and technology.

    SKILLS, KNOWLEDGE & ABILITIES

    Knowledge of :

  • Windows Operating Systems, Microsoft Office Suite (Excel, Outlook, PowerPoint, Word, Publisher) Adobe Acrobat PDF.
  • Operate standard office equipment.
  • Computer operations using word processing and other business software.
  • Organizing and maintaining specialized documentation.
  • Association and program rules, policies and procedures applicable to assigned areas of work.
  • Correct English usage including spelling, grammar, and punctuation.
  • Ability to :

  • Perform highly detailed work on multiple, concurrent tasks with frequent interruptions.
  • Learn and apply program rules, policies and procedures applicable to assigned areas of work.
  • Communicate effectively orally and in writing.
  • Travel frequently within San Diego County to Food Bank distribution sites, including evening and weekend hours.
  • Learn federal, state, and agency policies required to administer charitable feeding programs.
  • Learn the Primarius inventory tracking system and Oasis insight client database.
  • Prepare clear, concise and accurate reports, correspondence and other written materials.
  • Manage multiple priorities with competing deadlines.
  • Meet intensive and changing deadlines and interact with officials, staff and the public.
  • LICENSES, CERTIFICATES, SPECIAL REQUIREMENTS

  • A valid California Driver’s License and reliable personal transportation.
  • Food Handler’s Card (can be obtained after employment).
  • Bilingual (a plus).
  • COMPENSATION

  • This is a full-time, non-exempt / hourly / benefited position.
  • A market-level competitive salary is between $25.00 - $26.00 per hour based on experience.
  • The compensation package includes a competitive salary and an excellent benefits package including : 403(b) plan with 200% employer matching; excellent health care coverage with free employee medical, dental and vision plans; company paid term life insurance; and a generous accrual of paid vacation and sick leave.
  • WORK SCHEDULE

  • Typical days and hours of work are Monday – Friday from 7 : 30 a.m. to 4 : 00 p.m.
  • This position occasionally requires evening and weekend shifts.
  • This position is required to travel up to 60% of the time; travel is within San Diego County.
  • This position has the flexibility to work remotely 1 day a week, business needs permitting.
