SUMMARY OF POSITION :

The Solomon R. Guggenheim Foundation is seeking an Associate Editor. As a member of the Publications Department of the Solomon R. Guggenheim Museum, the Associate Editor edits exhibition didactics and public-facing printed and digital materials; assists Senior Editors with aspects of exhibition catalogues; and provides administrative support for all departmental business. Guggenheim Publications produces around three books per year, and edits didactics for approximately seven exhibitions per year. This position reports to the Associate Director, Editorial.

SKILL AND EXPERIENCE REQUIREMENTS :

  • At least 4–6 years of experience in editorial work, preferably in an art-related field, scholarly publishing, or art or culture journals; museum-related editorial experience a plus.
  • Solid understanding of modern and contemporary art.
  • Knowledge of long-form editing style and scholarly citation practices.
  • Ability to implement structure and clarity in texts for diverse audiences.
  • Experience in copyediting or copywriting interpretive materials, and / or marketing and communications materials, a plus.
  • Able to balance editing responsibilities with project management and administration.
  • Self-motivated and able to work both collaboratively and independently.
  • Must be able to work with writers of varying levels of publishing experience.
  • Highly organized and rigorous sense of detail.
  • Proficiency with Microsoft Office and Adobe Acrobat Pro is required.
  • Thorough knowledge of style / usage materials, especially the Chicago Manual of Style (online or 17th edition).
  • Proficiency with InDesign is preferred.
  • Knowledge of other languages is a plus.
  • Must be able to pass an editing test.

KEY RESPONSIBILITIES :

Duties may include, but are not limited to, the following :

Editorial (70%)

  • Serve as editor and project manager for most exhibition didactics : edit manuscripts with curator, and manage the project through production in accordance with schedule and in collaboration with Graphic Design.
  • Copyedit and proofread public-facing printed and digital content for the museum at large, including items for education, membership, marketing, press, development, visitor services, etc.
  • Assist two Senior Editors as needed on book projects, including but not limited to : research and edit bibliographies; fact-checking; edit front / back matter, captions, and citations; proofread and slug layouts; compile copyright credits; copyedit against style sheets; and manage source scans from authors.
  • Help implement and maintain the museum’s editorial style guide.
  • Departmental Administration (15%)

  • Schedule departmental meetings and weekly meetings for publications projects.
  • Maintain records, including invoices, consignment earnings, and list of publications.
  • Assist with hiring, training, and managing two interns per year.
  • Assist editors with preparing sales materials for the Guggenheim’s book distributors : coordinate deadlines for editorial, production, and management staff; organize, compile, and traffic materials (copy, images, layout); act as liaison with distributor.
  • Obtain CIP data, register copyright information, assign ISBNs, and create barcodes.
  • Organize gallery catalogue orders; generate and send invoice to gallery.
  • Occasionally support Associate Directors (2) of Editorial and Publications : assist with drafting presentations and conducting miscellaneous book-related research.
  • Maintain Publications section on museum and retail store websites : coordinate photography of new titles, garner approvals for text and images, generate and traffic approved book title forms.
  • Enter publications in annual awards competitions.
  • Order supplies.
  • Prepare catalogue and other mailings; coordinate internal distribution of catalogues.
  • Assist in drafting and managing agreements for contractors, authors, and reprint licensees.
  • Departmental Budgetary (15%)

  • Maintain, reconcile, and track costs for catalogue and departmental budgets in Excel, Concur, and Financial Edge to verify book expenses for unit costing; serve as liaison with Accounts Payable.
  • Submit and track departmental expenses and invoices from contractors, authors, etc.
  • Manage annual accrual process : attend sessions with Finance, communicate deadlines to department, compile and send approved forms to Finance.
  • Coordinate creation of new catalogue project codes with Finance.
  • WORK DEMANDS and ENVIRONMENT :

  • Ability to travel within the metropolitan area as required to perform the above duties at any of the Guggenheim’s owned or leased properties upon request.
  • Occasionally work may be conducted outdoors, exposure to varied weather conditions.
  • Ability to work nights, weekends, holidays on occasion.
  • Ability to lift at least 25 lbs.

  • Bachelor’s or Master’s degree.

    POSITION TYPE :

    Full-time, Exempt. This position is covered by a Collective Bargaining Agreement with Local 2110 UAW.

    SALARY RANGE : 72,100 Annually
