We are looking for a motivated and organized Administrative Office Assistant to join our team and help manage the day-to-day operations of our growing practice.
Job Description: As an Administrative Office Assistant, you will be an essential part of our team, providing administrative support to ensure the smooth operation of the practice. This position is ideal for someone who is detail-oriented, compassionate, and enjoys working in a dynamic environment.
Key Responsibilities:
- Greet and assist clients as they arrive, ensuring a welcoming atmosphere
- Answer phone calls, schedule appointments, and manage the practice’s calendar
- Maintain accurate and confidential client records and files
- Process insurance verifications and billing (experience with mental health billing is a plus)
- Manage account balances and collecting payments
- Assist in managing office supplies as well as ensuring the office is well-organized and clean daily
- Prepare and send client communications, including appointment reminders
- Handle incoming and outgoing mail, emails and faxes as well as work on referrals daily
- Support the practice’s therapists and administrative team as needed
- Ability to report to work timely. Office hours are Monday-Thursday from 8:30-5:00.
Qualifications:
- High school diploma or equivalent (Associate’s degree or higher preferred)
- Experience as an Administrative Office Assistant (preferably in a healthcare or mental health setting
- Excellent organizational and communication skills
- Ability to handle confidential information with discretion
- Proficiency in Microsoft Office and office management software (e.g., scheduling software, billing systems)
- Friendly, compassionate, and professional demeanor
- Ability to multitask and prioritize in a fast-paced environment
- Experience with mental health billing and insurance verification (preferred but not required)
- Must be able to pass a background check and drug screen
- Be able to provide references to support work experience
