Summary
This position is responsible for providing administrative support for a growing behavioral health practice. Primary duties include receptionist tasks, office support, data entry, and marketing tasks. You will work as part of the logistics team to help ensure smooth day-to-day operations of a hybrid (in-person/remote) office.

- Perform receptionist duties including greeting clients, managing office supply inventory, monitoring and sorting mail, and keeping office space organized
- Demonstrate exceptional attention to detail with office environment to create a memorable and delightful in-office client and therapist experience
- Take ownership of daily and seasonal packaging and shipping tasks including mailing educational materials, confidential reports, merchandise, and client and provider gifts.
- Interface with vendors to complete orders related to operations and marketing efforts
- Support marketing team efforts including community outreach events, social media content creation and engagement, market research, and related tasks
- Coordinate internal team gatherings and occasional travel arrangements for employees, as well as tracking and managing team birthdays and work anniversaries.
- Adhere to healthcare privacy and confidentiality standards
- Complete all required training to remain current and informed in all areas of responsibility
- Perform office operation duties including ordering and distributing parking validations, managing and assigning office keys and fobs, and relaying office updates to the team
- Support entering and updating client and provider information in Customer Relationship Management (CRM) and Electronic Health Record (EHR) software
Education
H.S. Diploma or higher (required); BA/BS degree (preferred)
Required Experience
- 2 years (or longer) of experience in office administration or similar position (eg. Receptionist, Office Manager, Administrative Assistant)
- Intermediate to advanced proficiency with Microsoft Office suite
- Intermediate to advanced proficiency with Google Workspace
- Experience or education in the mental health field is preferred

Pay
$20/hr, dependent upon experience
Reporting Relationship: Report to Practice Manager
Hours: 20 -30 hours per week
Overtime/Weekend: None
Work Location: In person three (3) days per week at downtown Los Angeles location with occasional work from home.
