We are looking for a highly organized and detail-oriented Office Assistant to join our team. As an Office Assistant, you will play a critical role in helping projects run smoothly, from initial planning through to completion. This role requires strong communication skills, the ability to multitask, and a proactive approach to problem-solving.
KEY RESPONSIBILITIES
- Provide administrative support to the project management, design, and installation teams.
- Handle incoming calls, emails, and inquiries, ensuring prompt and professional responses.
- Maintain accurate and organized records, files, and databases.
- Process purchase orders and vendor invoices.
- Check vendor order acknowledgements for accuracy.
- Distribute incoming mail.
- Manage and order office supplies.
- Make travel arrangements.
- Process paperwork for customer deliveries.
- Create customer invoices and process incoming payments.
- Support event planning, vendor coordination, and special projects as needed.
- Other duties as assigned.
QUALIFICATIONS
- Previous experience in an administrative role.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with office management software.
- Strong organizational and multitasking abilities.
- Excellent written and verbal communication skills.
- A proactive and problem-solving mindset with attention to detail.
- Ability to work independently and as part of a collaborative team.
- Solid time-management abilities with the ability to prioritize tasks.
- High school diploma.
