We are looking for a highly organized and detail-oriented Office Assistant to join our team. As an Office Assistant, you will play a critical role in helping projects run smoothly, from initial planning through to completion. This role requires strong communication skills, the ability to multitask, and a proactive approach to problem-solving.

KEY RESPONSIBILITIES

  • Provide administrative support to the project management, design, and installation teams.
  • Handle incoming calls, emails, and inquiries, ensuring prompt and professional responses.
  • Maintain accurate and organized records, files, and databases.
  • Process purchase orders and vendor invoices.
  • Check vendor order acknowledgements for accuracy.
  • Distribute incoming mail.
  • Manage and order office supplies.
  • Make travel arrangements.
  • Process paperwork for customer deliveries.
  • Create customer invoices and process incoming payments.
  • Support event planning, vendor coordination, and special projects as needed.
  • Other duties as assigned.

QUALIFICATIONS

  • Previous experience in an administrative role.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with office management software.
  • Strong organizational and multitasking abilities.
  • Excellent written and verbal communication skills.
  • A proactive and problem-solving mindset with attention to detail.
  • Ability to work independently and as part of a collaborative team.
  • Solid time-management abilities with the ability to prioritize tasks.
  • High school diploma.
