Primary Purpose and Function

Provides administrative support to the Clinical Director, Program Services Management team, and other assigned leadership staff at THIRA Health. Exercises independent judgement, handles sensitive issues with discretion, and utilizes critical thinking and problem-solving skills on a routine basis.

Required Qualifications:

· High School Diploma, or General Equivalency Diploma (GED)

· Minimum one (1) year experience as an Executive Assistant, Administrative Assistant or other related experience providing individual and/or team administrative support

· Demonstrated proficiency in the use of Microsoft Office and the ability to use various software programs

· Successfully complete comprehensive background check (Federal and state)

· Valid WA state driver’s license; satisfactory Motor Vehicle Report (MVR)

· Ability to work evenings, nights, weekends & holidays as needed

Preferred Qualifications

· Associate’s degree in Healthcare Administration, Psychology, Business, Public Health, or related field

· Previous healthcare experience

· Familiarity or experience with learning management systems (LMS)

Addendum A: Essential Job Functions and Responsibilities

· Manages calendars, schedules and confirms meetings, and creates agendas as required

· Creates, formats, edits, standardizes and maintains document templates; ensures consistent application across the organization

· Manages task lists and priorities; ensures timely completion of delegated assignments

· Reviews incoming communication/memos assigned to Program Services staff; summarizes and/or distributes priority, time-sensitive and confidential contents to appropriate staff

· Responds to routine requests and documents on behalf of Program Services

· Maintains OneDrive file structure, post documents to SharePoint, and manages version control

· Archives superseded documents, ensure proper disposal of proprietary or confidential documents

· Creates and distributes internal communications

· Gathers project reports; implements and maintains tracking systems, generate reports and metrics

· Manages meeting agendas; takes notes and distributes minutes

· Arranges travel and accommodations; makes and confirms reservations, reviews and approves invoices

· Enters expenses in accounting expense software

· Assist Program Services Team by executing tasks related to day-to-day clinical operations, including but not limited to supporting program and staff scheduling, tracking of clinical documentation, management of clinical outcome data, supporting with template changes and other EMR related tasks, and scheduling of onboarding for new clinical staff

· Performs other duties as assigned

· Attend and actively participate in all required THIRA meetings, training, and all other coverage, duties, and special projects as assigned

· Demonstrated ability to exercise discretion and judgement with sensitive and confidential matters, including PII, PHI, and HIPAA requirements

· Ability to work in a fast-paced environment with limited supervision

Work Environment

Work is performed primarily indoors. Lighting is artificial with some natural. Equipment used includes standard office equipment, i.e. computer, telephone, fax machine, copier, printer, and scanner. Physical demands include sitting, walking, standing, bending over, repetitive use of hands, and lifting up to 25lbs. Position requires close contact with all THIRA Health staff and mental health patients. Hours and days can vary within a Saturday through Friday work week.

Job Type: Full-time

Pay: $19.90 - $27.88 per hour

Expected hours: 40 per week
