What We Are Looking For
The Office & Sample Coordinator is responsible for overseeing the daily operations of the office, ensuring a smooth workflow, coordination of office activities, and providing assistance to management and staff. Additionally, this role will be responsible for all inbound and outbound product samples, organization and tracking for the production, wholesale, influencer and PR teams.
What You Will Own And How You Will Make A Difference
- Office Management: Ensure the office is well-maintained and organized. Order and maintain supplies in accordance with budget. Ensure workplace postings are up to date. Coordinate with building regarding necessary repairs, and arrival of company guests. Manage conference room bookings and use of common areas by subtenants. Ensure office policies and procedures are followed.
- Equipment Maintenance. Oversee management of laptops and peripherals and conference room equipment, including ordering laptops and peripherals, setting them up for new hires, and return of equipment. Manage conference room equipment, ensuring that equipment is operational on a daily basis.
- Event Coordination: Coordinate office events, meetings, and team-building activities. Manage logistics for company-wide events and celebrations, events occurring at the ThirdLove stores or other marketing events.
- Sample Management: Ensure all product / samples are clearly arranged, stored, organized and maintained (production, wholesale and PR).
- PR Support: Support the brand marketing team to manage PR samples including coordinating and tracking shipments, preparing shipping documents, and ensuring timely and accurate delivery.
- Wholesale Support: Support the wholesale team with shipment logistics, including coordinating and tracking shipments, preparing shipping documents, and communicating with carriers and clients to ensure timely and accurate delivery.
- Administrative Support: Handle incoming and outgoing correspondence, maintain and update office records, and prepare and edit documents. Act as a back-up to the EA as needed, to help schedule meetings and support the executive team.
- Space Planning and Facilities: Coordinate office space planning, seating arrangements, and facilities maintenance. Assist in office relocations or renovations.
You Have
The Office & Sample Coordinator's scope of responsibility encompasses a wide range of administrative and operational tasks essential to the smooth functioning of the office environment and flow of product/samples. This includes managing daily office operations, providing administrative support to various departments, and ensuring effective communication and coordination within the organization and ensures the smooth flow of inbound and outbound samples and product to support the product, marketing and wholesale teams.
Preferred Skills:
- Education: High school diploma or equivalent; Associate’s or Bachelor’s degree in Business Administration or related field preferred.
- Experience: Proven experience as an office coordinator or in a similar administrative role, with experience in managing office operations and coordinating tasks.
- Skills: Excellent organizational and multitasking abilities, strong verbal and written communication skills, proficiency in Google Suites and Microsoft; ability to maintain confidentiality, and strong problem-solving skills with attention to detail.
- Attributes: Professional demeanor and positive attitude, ability to work independently and as part of a team, and adaptability with a willingness to learn
