About The Role
We are seeking a highly organized and detail-oriented Design Project Assistant to support the administrative and accounting functions of our design team. This role is perfect for someone who enjoys being “in the weeds”—handling the day-to-day logistics, tracking project details, and ensuring that everything runs smoothly behind the scenes. Job-Type: Full-time, exempt
Pay: $55-65k, dependent on experience.
Hours: Monday-Friday 8 AM- 5 PM

Our firm is based in Annapolis, MD. The nature of this role requires a consistent presence in the office.
Job Responsibilities Key Responsibilities: Administrative Support: -Maintain and organize project documentation, contracts, and vendor agreements. -Assist with scheduling meetings, tracking project deadlines, and coordinating logistics. -Handle data entry, document management, and internal communications. Project Accounting & Tracking: -Process invoices, purchase orders, and expense reports related to design projects. -Track project budgets and expenses to ensure accuracy and compliance. -Coordinate with vendors and contractors on payment schedules and deliverables. Project Coordination & Logistics: -Track and manage material deliveries, ensuring projects stay on schedule. -Communicate with internal teams and external partners to keep projects moving forward. -Provide support for ordering, tracking, and organizing design materials. Qualifications: -Strong attention to detail and ability to manage multiple tasks simultaneously. -Excellent problem-solving skills and ability to anticipate project needs. -Experience with administrative support, accounting tasks, or project coordination. -Strong communication and organizational skills. -Proficiency in Microsoft Office and QuickBooks Preferred Skills: -Experience in a design, construction, or real estate environment. -Familiarity with invoicing, purchase orders, or basic accounting processes. -Ability to work both independently and collaboratively in a team setting.
