Position : Law Firm Administrator
Location : Remote, but candidates must reside in the Los Angeles or Orange County area
Compensation : $160,000 - $180,000 annually
Position Summary
The Law Firm Administrator will serve as a key member of the firm's leadership team, driving operational excellence and strategic growth for the non-legal aspects of the business. Reporting directly to the Principal / CEO, this role oversees all administrative functions, fosters a high-performing culture, and ensures seamless day-to-day operations. This role is comparable to a COO for a small but rapidly growing law firm.
What You'll Do Leadership and Strategic Planning
- Champion a culture that reflects the firm's core values.
- Lead a team of non-attorney staff, including recruitment, onboarding, training, and performance management.
- Serve as a strategic advisor to the CEO, contributing to long-term planning and decision-making.
- Drive and implement initiatives supporting the firm's operational and growth objectives.
- Enhance communication across departments to ensure streamlined workflows and alignment of goals.
- Collaborate with the CFO on financial oversight, including budget forecasting and cost management.
Operations
Optimize firm-wide operations by developing scalable systems and processes to improve efficiency.Ensure compliance with all legal and regulatory requirements.Lead technology strategies to drive innovation and efficiency across the firm.Manage daily administrative operations, including workflow management, data management, billing, and case management.Oversee vendor relationships and operational support for technology, marketing, and office administration.Establish and monitor Key Performance Indicators (KPIs) to assess firm performance.Manage the Potential New Client (PNC) process, ensuring efficiency and a positive client experience.Develop and document standardized operating procedures.Human Resources
Oversee the firm's talent management strategy, focusing on recruitment, retention, and professional development.Manage payroll, benefits, and HR compliance, ensuring a positive employee experience.Lead onboarding and offboarding processes for employees and independent contractors.Administer HR systems, policies, and performance management processes.Monitor continuing education and certification requirements for attorneys and staff.Other Responsibilities

High school diploma required; bachelor's degree preferred.Certified Legal Manager (CLM) strongly preferred.Experience
7 years in law firm administration or operations management.3 years supervising legal staff of 10 employees.3 years of HR experience, including recruiting and hiring.Budget management experience for $5 million operations.Experience in small to mid-sized organizations and remote-first environments.Skills and Knowledge
Proven leadership and team motivation skills.Expertise in legal office procedures and document management systems.Strong project management, organizational, and attention-to-detail skills.Proficiency in Microsoft Office Suite.Exceptional communication skills and ability to maintain confidentiality.Client-service mindset with a sense of urgency and superior follow-up skills.Preferred Qualifications
