What is the Client Intake Coordinator and Office Support Specialist?
On an average day, the Client Intake Coordinator and Office Support Specialist’s day will be filled with answering high volumes of phone calls, listening to potential clients' stories, and documenting their information accurately into our intake software.
Throughout the day, you’ll assist in directing calls, greeting visitors, and providing backup support to the receptionist as needed.
You’ll also monitor intake KPIs, run reports, and troubleshoot minor technical issues to keep operations running smoothly.
During an average week, you’ll meet with the firm owner to review data and key metrics, including both intake and non-intake KPIs across the firm.
You’ll track and analyze trends in areas such as call volumes, case progress, and firm-wide productivity to identify areas for improvement and ensure alignment with the firm's goals.
You’ll play a vital role in refining operational systems to enhance efficiency and client service.
Alongside this, you’ll handle moments of compassion, listening to potential clients during difficult times, and address occasional challenges from frustrated callers with professionalism.
Additionally, you’ll take on administrative tasks such as scheduling, preparing reports, and troubleshooting or improving office technologies to maintain a well-functioning office environment.
