Position Summary
The Foster Care Program Coordinator (FCPC) is an integral part of the Foster Care Team and the Children and Family Ministries office functions.
The FCPC will assist with program operation and provide support to the Foster Care Program.
The FCPC will collect, input, and manage all program data and provide accurate Program Quality Information (PQI) data reports on a monthly and quarterly basis.
The FCPC will assist the team in coordinating all foster parent training events and foster family fun activities.
FCPC will act as the receptionist in the Children and Family Ministries building, greeting guests, accepting mail/packages, and receiving and directing phone calls.
The FCPC will be skilled in using the Microsoft Office Suite and will demonstrate strong organizational skills and be able to multitask, and prioritize work.
The FCPC will demonstrate integrity and maintain confidentiality.
Core Responsibilities
- Provide timely and accurate technological and administrative support to the staff of the Foster Care Program.
- Assemble new hire and training manuals.
- Track in-service training hours for staff.
- Assist with tracking training hours for foster families as needed.
- Assist in tracking initial licensing paperwork and renewal paperwork, and appointments as needed
- Manage Foster Care Program calls/texts and some emails.
- Greet all callers politely.
- Transfer all calls to the appropriate person.
- Open and close the CFM building each day.
- Assist in greeting visitors to the CFM building.
- Field phone calls into Thornwell and direct calls to the correct department.
- Provide timely follow-up and responses to questions.
- Review budget expenses for upcoming activities with the Director
- Maintain a supply of Foster Care Program Information and display it in an orderly manner in the office
- Mail or provide digital copies to community partners, foster families, and churches as needed.
- Collect monthly reports from staff, review for accuracy and completeness, and email to the Director.
- Assist with organizing and preparing foster care events (secure event venue, purchase food and supplies, and set up and clean up for the event.
- Process data for the foster care program and document donations.
- Process all incoming and outgoing mail and packages to the Children and Family Ministries Building.
- Assist the Foster Care Program Director with reports, scheduling meetings, and other general administrative duties as assigned.
- Participate in gathering documents to comply with DSS audits and Council on Accreditation reviews.
- Assist with the Placement Referral Intake process by responding to the DSS emails regarding low-level RFC placement requests within 30 minutes of receipt.
- Forward the high-risk RFC placement request to the staff designated to process daily referrals.
- Manage the open beds list on Teams
- Process the Diligent Efforts forms following DSS regulations
- Assume all other administrative duties as assigned by the Supervisor.
Working Conditions
The Foster Care Program Coordinator will be required to use computers with the most frequent applications to include Word Processing, Design Programs, Excel Spreadsheets, PowerPoint, and an electronic note-taking system (Credible). The Foster Care Program Coordinator will be required to work a 40-hour work week in the office in the Children and Family Ministries building. This is not a remote position. Physical activity associated with the job will include sitting and the ability to move around and lift office supplies and printed materials. Activities could include sitting/standing at a desk, talking on the phone, answering the door, lifting office supplies, and in-kind donations of up to 25 pounds.
Qualifications
The Foster Care Program Coordinator must have an associate's degree or equivalent experience. The applicant must have a valid state driver's license.
