Thorpe Design, Inc. is looking for a Accounts Receivable / Billing Coordinator to participate in our operations.
Thorpe Design, Inc. is a C-16 licensed Fire Sprinkler Contractor in the state of California since 1986. As one of the largest residential sprinkler contractors in California, we have well established and consistent work with many home builders throughout Northern California.
Job Summary:
The Accounts Receivable / Billing Coordinator will be responsible for managing the accounts receivable process and ensuring timely and accurate billing. This role requires a detail- oriented individual with at least 3 years of experience in accounts receivable, preferably in the construction industry. Experience with lien releases or lien waivers is essential. The ideal candidate will possess excellent communication skills, exceptional organizational abilities, and strong follow-up and time management skills.
Responsibilities:
· Generate and issue accurate and timely invoices to customers based on contracts and agreements
· Deliver invoices to clients via digital and client-required methods
· Identify inconsistencies
· Customer service to internal and external customers
· Maintain daily work logs for tract division
· Coordinate with collection team to resolve billing issues and ensure accuracy of invoices.
· Maintain organized documentation and records related to accounts receivable and billing activities.
· Other duties as assigned by management; As a small company, we cannot always guarantee that employees will only have to perform duties specifically within their job description.
Requirements:
· High School Diploma or Equivalent
· Minimum of 3 years of accounts receivable billing, preferably in the construction industry.
· Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
· Experience in working in deadline environment.
· Excellent communication skills, both written and verbal, with the ability to interact effectively with customers and all levels of the company
· Strong organizational skills and attention to detail to ensure accuracy in billing and documentation.
· Proven ability to follow up and resolve issues in a timely manner.
· Ability to work independently and collaboratively within a team environment.
· Knowledge of construction billing software (e.g., Procore, SupplyPro, Viewpoint) is advantageous.
Must pass Pre-Employment drug & background screening
All work is full time Monday-Friday with a minimum of 40 hours a week of work with the option of overtime as needed.
- Health Insurance: After completion of 60 days employment, health insurance is available. A portion of the premium is paid by Thorpe Design for the employee only. Coverage is available for dependents at full cost. Pre-tax dollars used for premium payments
- Paid Time Off: Holiday Pay – generally 8 paid days per year. Sick Pay – 40 hours per year.
- After completion of 120 day probation period accrued vacation is available
- Dental Benefit: After completion of 120 day probation period reimbursement of 75% of paid bill up to $600 per year
- Vision Benefit: After completion of 120 day probation period, reimbursement of 75% of paid bill up to $100 per year
