The Executive Administration Assistant is responsible for performing complex administrative tasks to ensure the smooth operation of the executive office.
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES
- Coordinates and monitors complex executive calendars, scheduling appointments, meetings and conferences.
- Drafts, edits, and proofreads correspondence, memos, presentations and reports on behalf of executives.
- Manages incoming communications, emails, phones calls, filtering and redirecting inquiries as necessary.
- Serves as a liaison between executives and internal/external parties, ensuring timely and accurate communication.
- Prepares and distributes meeting agendas, materials, and presentations in advance of executive meetings.
- Attends meetings, taking comprehensive minutes and follows up on action items to ensure completion.
- Assists executives with special projects, research assignments and initiatives as required.
- Compiles data and prepares reports, summaries and analyses to support decision making.
- Handles sensitive and confidential information with the utmost professionalism and discretion.
- Maintains strict confidentiality in all interactions and communications.
- Maintains a well-organizes executive office, including filing systems, document management and supplies inventory.
- Develops positive working relationships with colleagues, stakeholders, clients and partners
- Other duties as directed by management.
WORK ENVIRONMENT
While performing the duties of this job, Team Members may be exposed to secondhand tobacco smoke, including regular exposure for those working on the casino floor. The noise level in the work environment is usually moderate and can occasionally reach a high level for short periods of time.
PHYSICAL REQUIREMENTS
- Must be able to sit, stand and/or walk for up to 8 hours.
- Must be able to carry, reach, twist, bend and squat frequently.
- Must regularly lift and/or move up to 25 pounds and occasionally lift and/or move up to 50 pounds with assistance as needed.

Requirements:EXPERIENCE, EDUCATION AND ELIGIBILITY
- Minimum age requirement for this position is 21 years old.
- Requires a Bachelor’s Degree in Business Management or equivalent combination of education and experience.
- Two or more years of experience working as an Administrative Assistant preferred.
- Thorough understanding of computer programs, including all windows applications required.
- Must have a valid driver’s license and be insurable by TRCR’s insurance company.
- Must have demonstrated ability to work in a fast-paced, diverse environment where organization, prioritization and team work are required for success.
- Must have the ability to prioritize tasks, manage deadlines and demonstrate the ability to adapt to changing priorities.
- Ability to handle multiple tasks with accuracy and attention to detail.
- Ability to communicate clearly and effectively in English, verbally, in writing or by other acceptable means.
- Comply with pre-employment, random and reasonable suspicion alcohol and drug testing.
- Receive and maintain a valid gaming license from the CTCLUSI Tribal Gaming Commission.
- Availability to work all shifts including weekends and holidays based on the needs of the department and for special casino events.
