Job Overview We are seeking a highly organized, detail-oriented, and proactive Executive Coordinator to provide comprehensive administrative, human resources, and insurance credentialing support to our executive team. This dynamic role is pivotal in ensuring the smooth operation of our office while supporting leadership in achieving organizational goals. Key Responsibilities Executive Support:
- Manage executive calendars, coordinating meetings, appointments, and travel arrangements.
- Prepare, edit, and proofread correspondence, reports, and presentations with accuracy and professionalism.
- Serve as the primary liaison between executives and internal/external stakeholders.
- Utilize tools such as PandaDoc to facilitate document approvals and electronic signatures.
Insurance Credentialing:
- Oversee and manage the insurance credentialing process for clinicians, ensuring timely completion and compliance with provider requirements.
- Maintain accurate and up-to-date credentialing files, monitoring expirations and renewals.
- Serve as the point of contact for insurance providers to resolve credentialing issues or inquiries.
Human Resources Support:
- Assist with HR-related tasks, including onboarding new employees, maintaining personnel files, and tracking compliance with mandatory training.
- Support recruitment efforts, such as posting job openings, scheduling interviews, and preparing offer letters.
- Ensure confidentiality and proper handling of sensitive HR documentation.
Office Management:
- Maintain organized filing systems for physical and digital documents.
- Monitor office inventory, ordering supplies as needed to ensure operational efficiency.
- Facilitate office communication by answering phones, managing emails, and greeting visitors.
Administrative Tasks:
- Support expense reconciliation and preparation of executive reports.
Qualifications
- Minimum 2 years of experience as an Executive Assistant required.
- Prior experience in insurance credentialing and HR functions is highly desirable.
- Strong organizational and multitasking skills, with the ability to prioritize effectively in a fast-paced environment.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
- Excellent written and verbal communication skills, with a keen eye for detail.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Familiarity with office management practices and systems.
- Experience with PandaDoc or similar tools is a plus.
