Job Title: R&D Administrative Assistant
Department: Research & Development
Reports to: R&D Supervisor
Location: Onsite in American Fork, Utah
Schedule: Full Time - 40 hours per week
The R&D Administrative Assistant is responsible for supporting the R&D team by managing samples, maintaining documentation, and assisting with various administrative duties to ensure efficient operations. This role is ideal for a highly organized and detail-oriented individual who enjoys supporting research and development efforts in a dynamic environment.
Essential Functions Include:
- Sample Management:
- Coordinate the preparation, organization, and shipping of R&D and sales samples.
- Maintain accurate records of sample inventory and shipments.
- Communicate with cross-functional teams regarding sample needs and availability.
- Documentation & Data Management:
- Maintain and update R&D documentation, including specification sheets, reports, and other documentation.
- Ensure compliance with internal documentation standards and regulatory requirements.
- Organize and manage digital and physical records for the R&D department.
- Administrative Support:
- Order and maintain inventory of lab supplies, ingredients, and packaging materials.
- Provide general administrative support to facilitate daily R&D operations.
- Collaboration & Communication:
- Work closely with the R&D, Quality, Sales, and Production teams to streamline processes.
- Support cross-functional projects by tracking progress and ensuring deadlines are met.
- Assist in compiling reports and presentations as needed.
- Other duties as assigned
Qualifications Include:
- High School Diploma, or equivalent; associate or bachelor's degree preferred
- 2 years of experience in an administrative, clerical, (experience in R&D or food industry preferred).
- Strong organizational skills with excellent attention to detail.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint).
- Ability to multitask, prioritize workload, and meet deadlines in a fast-paced environment.
- Strong written and verbal communication skills.
- Experience with documentation management and record-keeping.
- Familiarity with food safety, regulatory compliance, or laboratory environments is a plus.
Physical Requirements - Must be able to perform the following functions with or without accommodation:
- Consistent and reliable attendance.
- Prolonged periods sitting at a desk and working on a computer.
- Ability to lift up to 25 pounds at times.
- The job is performed under some temperature variations and in a food manufacturing office environment.
- Unrestricted visual and audio abilities are required for the safety of all employees
Food Safety Requirements:
