Job Title: Front Desk Supervisor
Job Summary: We are seeking an organized and proactive Front Desk Supervisor to oversee daily operations, manage financial duties, and provide HR support to our front office team. This individual will ensure efficient patient flow, maintain safety and satisfaction, and support the practice manager in various administrative functions. The ideal candidate will have excellent communication skills, a strong attention to detail, and the ability to lead and motivate a team.
Key Responsibilities:
Operational Duties:
- Lead daily morning huddles to ensure team alignment and communication.
- Monitor patient flow to ensure smooth operations throughout the day.
- Ensure copays and patient balances are collected accurately and timely.
- Optimize provider schedules and review them daily to identify and correct errors (e.g., appointment type mismatches, sibling scheduling issues).
- Maintain patient and visitor safety and satisfaction.
- Monitor staffing levels and ensure adequate coverage at all times, including during opening/closing and weekends.
- Manage staff absences, ensuring coverage when staff calls off or takes PTO.
- Oversee pre-registration of new patients and ensure accuracy in chart prep.
- Confirm that patient confirmations and daily patient statements are processed.
- Reconcile daily payments and provide the end-of-day report for deposit preparation.
- Understand insurance/payer benefits and ensure they are reflected in scheduling and registration processes.
- Ensure the front office has necessary supplies and inventory.
- Provide support to the Practice Manager, collaborating with leadership to identify practice needs and improve systems.
- Implement front desk policies and procedures.
- Supervise and delegate daily tasks to the front office team.
- Resolve patient conflicts as they arise, ensuring high levels of customer service.
Financial Duties:
- Post payments from patients, ensuring timely application and handling of unapplied payments.
- Provide daily end-of-day reports detailing all payments received, including cash and credit card transactions.
- Works closely with billing and patient balances, ensuring timely follow-up on outstanding issues.
- Monitor and manage office products and supply inventory.
- Coordinate purchasing of practice products and maintain records of expenses.
- Reconcile daily payments, ensuring reports from ECW match for deposits.
- Assist in managing the office budget and maintaining expense records.
HR Duties:
- Foster a positive work environment and high employee morale through support, collaboration, and empowerment.
- Lead and facilitate daily morning huddles and participates in monthly staff meetings.
- Create and distribute monthly employee schedules, ensuring coverage and smooth operations.
- Monitor staff attendance, addressing tardiness or missed punches.
- Conduct regular one-on-one rounds with front office staff to provide support and feedback.
- Onboard and train new front desk employees, providing necessary materials and resources.
- Ensure front staff submits time card corrections to the manager to process payroll on time.
- Approve PTO requests and manage direct reports’ performance reviews and corrective actions.
- Manage lunch schedules to ensure proper staff coverage during breaks.
- Enforce company policies, including food and behavior guidelines for front desk staff.
- Coordinate and manage word processing and Excel spreadsheet processes.
- Perform other duties as assigned to meet the office's evolving needs.
Qualifications:
- Proven experience in a front office or supervisory role, in healthcare settings.
- Strong organizational, communication, and leadership skills.
- Ability to multitask and prioritize in a fast-paced environment.
- Experience with ECW - EMR
- Knowledge of office administration, billing, and insurance processes is preferred.
- Experience with timekeeping and scheduling software.
- Positive attitude, teamwork, and conflict resolution skills.
