Position Summary:
We are seeking a detail-oriented, compassionate, and highly organized Office Manager to join our team. The ideal candidate will play a vital role in the day-to-day operations of the practice, ensuring the office runs smoothly and efficiently. This person will be the first point of contact for clients and staff, and will support clinical operations, scheduling, billing coordination, compliance, and administrative tasks.
Key Responsibilities:
- Manage daily operations of the front office including reception, scheduling, and general administrative support
- Serve as a welcoming and professional first point of contact for clients, families, and referral sources
- Coordinate clinician schedules and client appointments using practice management software
- Oversee client intake process and ensure completion of all required documentation
- Maintain client records and uphold HIPAA compliance and confidentiality standards
- Process insurance verifications, billing, and support coordination with third-party billers
- Monitor office supplies, manage vendor relationships, and maintain a clean, organized office space
- Assist with HR-related tasks including onboarding of new staff and maintaining personnel files
- Ensure compliance with licensing, accreditation, and operational policies
- Support the Clinical Administrator and leadership with special projects, reports, and office initiatives
Qualifications:
- Proven experience as an office manager, preferably in a healthcare or mental health setting
- Strong administrative, communication, and organizational skills
- Working knowledge of electronic health records (EHR) and software
- Familiarity with insurance billing processes and terminology
- Ability to maintain client confidentiality and work in a trauma-informed environment
- Proficiency in Microsoft Office Suite and basic tech troubleshooting
- High school diploma required; Associate’s or Bachelor’s degree in business, healthcare administration, or related field preferred
